You\u2019ll have to find your MX record from the Admin Center.<\/li>\n<li>Use SMTP client submission, aka <b>SMTP AUTH<\/b> or SMTP authentication (<b>that\u2019s what we\u2019ll be covering<\/b>)<\/li>\n<li>Use a dedicated relay (<b>SMTP connector<\/b>) that\u2019s configured with your public IP address to send emails through the Office 365 SMTP relay.<\/li>\n<\/ul>\n<p><b><i>Note:<\/i><\/b><i> If you\u2019re confused about what <\/i><i>SMTP<\/i><i> is, feel free to<\/i> <a href=\"#whatis\"><i>skip ahead<\/i><\/a><i> to the section where I\u2019ve explained it. After you\u2019ve got that background, you can come back here to set things up <\/i><i>in your Outlook <\/i><i>application<\/i><i>.<\/i><\/p>\n<h3>Why Use The SMTP Client Method?<\/h3>\n<p>The SMTP client submission (authentication) method is the best to use with the Microsoft Outlook application.<\/p>\n<p>Here are the problems with the other two methods:<\/p>\n<ul>\n<li>While the <strong>Direct<\/strong> <strong>Send<\/strong> <strong>method<\/strong> has higher sending limits, it only supports internal email communication \u2014 you can\u2019t use it for contacts outside your organization.<\/li>\n<li>If you use a line-of-business (LOB application), it must feature a static IP address to authenticate Office365 through the <strong>relay<\/strong> <strong>server<\/strong> <strong>method<\/strong>.<\/li>\n<\/ul>\n<p><b>Here\u2019s why the <\/b><b>SMTP AUTH client submission<\/b><b> method is better:<\/b><b><br \/>\n<\/b>Unlike Direct Send, the SMTP AUTH mail configuration allows you to send mail to people inside and outside your organization.<\/p>\n<p>Additionally, by using the SMTP authentication method, your IP address doesn\u2019t need to be static like it would with the relay server method \u2014 giving you a lot more functionality!<\/p>\n<p>If you\u2019re handling an organization\u2019s email, you can even change the SMTP AUTH settings for individual mailboxes from the Exchange Admin Center. You can access the Admin Center from right inside Office 365.<\/p>\n<h3>How to Set Up Office 365 SMTP Settings Using the SMTP Client Submission Method<\/h3>\n<p>Once you log in to the Microsoft Outlook mail app, use the toolbar and navigate to <b>File <\/b>&gt; <b>Account Settings <\/b>&gt; <b>Server Settings<\/b>.<\/p>\n<p>Then, click on <b>Outgoing Mail<\/b> to set up your SMTP <b>Outgoing Server<\/b> settings.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-17503\" style=\"border: 1px solid #000000;\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2021\/09\/click-on-outgoing-mail.png\" alt=\"click-on-outgoing-mail\" width=\"750\" height=\"384\" srcset=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2021\/09\/click-on-outgoing-mail.png 1024w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2021\/09\/click-on-outgoing-mail-300x154.png 300w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2021\/09\/click-on-outgoing-mail-768x393.png 768w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2021\/09\/click-on-outgoing-mail-24x12.png 24w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2021\/09\/click-on-outgoing-mail-36x18.png 36w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2021\/09\/click-on-outgoing-mail-48x25.png 48w\" sizes=\"auto, (max-width: 750px) 100vw, 750px\" \/><\/p>\n<p><span style=\"text-decoration: underline;\"><b>Office 365 SMTP Settings<\/b><\/span><\/p>\n<p><b>SMTP server <\/b><b>address<\/b>: smtp.office365.com<\/p>\n<p><b>Port Number<\/b>: 587<\/p>\n<p><b>Encryption method<\/b>: STARTTLS<\/p>\n<p><b>Username<\/b>: Your Office 365 email address<\/p>\n<p><b>Password<\/b>: Your Office 365 app password<\/p>\n<p>Remember not to use a custom IP address as the mail server as they aren\u2019t supported by Office 365; stick with the given DNS name.<\/p>\n<p>If your SMTP client doesn\u2019t connect to the given DNS, you might get an error about the Exchange Online Server.<br \/>\nIf you run into this problem, ensure your server name is set as <b id=\"setup2\">smtp<\/b><b>.office365.com<\/b> and not a regional Exchange Online Server server like smtp-apacnorth.outlook.com.<\/p>\n<p>And if Port 587 isn\u2019t available, you can also use Port 25 \u2014 but ensure that your ISP or firewall hasn\u2019t blocked the port you\u2019re planning to use.<\/p>\n<p><a href=\"#this\"><strong>Back to Contents<\/strong><\/a><\/p>\n<h2>How To Set Up POP &amp; IMAP in Microsoft Outlook<\/h2>\n<p>Just setting up your SMTP mail settings isn\u2019t enough to receive incoming emails in your mail client.<\/p>\n<p><strong>Why?<\/strong><i><br \/>\n<\/i>Your SMTP settings only deal with outgoing mail flow \u2014 not the emails you receive!<br \/>\n(more on this <a href=\"#whatare\">later in the article<\/a>)<\/p>\n<p>To receive an email, your IT admin needs to set up your <strong>POP<\/strong> or <strong>IMAP<\/strong> server settings.<\/p>\n<p>But if you don\u2019t want to ask your network admin to set up POP or IMAP server settings, here\u2019s what you need to do in MS Office:<\/p>\n<p>Open the Microsoft Office Outlook App and from the toolbar, go to\u00a0 <b>File <\/b>&gt; <b>Account Settings <\/b>&gt; <b>Server Settings.<br \/>\n<\/b>Then, set up POP and IMAP settings. What is SMTP?<\/h3>\n<p>A <b>Simple <\/b><b>Mail<\/b><b> Transfer Protocol<\/b> (SMTP) is used to send emails from one server (like the Office 365 SMTP server) to another. Most email providers use an outgoing mail server with SMTP to send emails over the internet.<\/p>\n<p>SMTP works with a Mail Transfer Agent (SMTP relay) to send your emails to the right mailbox and computer. An SMTP relay guarantees that an email you send arrives in the recipient\u2019s mailbox.<\/p>\n<p><i id=\"howdoes\">Think of it this way:<br \/>\n<\/i>SMTP is like the postal service. It\u2019s what you use to send your messages to every external recipient.<\/p>\n<p>Only this time, you won\u2019t have to worry about finding envelopes or stamps!<\/p>\n<h3>2. How Does SMTP Work?<\/h3>\n<p>SMTP uses a set of codes and commands that simplify the process of sending emails among email servers.<\/p>\n<p>When you send out an email through an SMTP email system, it\u2019s transferred through several SMTP relay systems and computers before it reaches its destination (a recipient\u2019s mailbox).<\/p>\n<p><i>It\u2019s basically like your <\/i><i>mail<\/i><i> getting sorted through multiple post offices and postal workers before it finally ends up in the hands of your recipient!<\/i><\/p>\n<p>However, as SMTP only transmits text, you can\u2019t use it to send attachments.<\/p>\n<p id=\"whatare\">To overcome this, Multipurpose Internet Mail Extensions (MIME) encode all non-text data into a text format before sending them through an SMTP relay server.<\/p>\n<p>Tons of email services like <a href=\"https:\/\/www.gmass.co\/blog\/smtp-review\/\">SMTP.com<\/a> and <a href=\"https:\/\/www.gmass.co\/blog\/smtp-services-review\/\">Mailjet<\/a> offer their own SMTP service to customers \u2014 these help people send emails without having to set up an SMTP server manually.<\/p>\n<h3>3. What are POP and IMAP?<\/h3>\n<p>When it comes to configuring emails, you need more than SMTP systems alone.<br \/>\nRemember, your Office 365 SMTP server is only used to <i>send<\/i> emails.<\/p>\n<p><a id=\"pop\" href=\"https:\/\/www.entrepreneur.com\/article\/248093\">POP3 and IMAP<\/a> are two incoming server protocols used to receive emails.<\/p>\n<p>Here\u2019s how the IMAP protocol and POP3 protocol work:<\/p>\n<h4>A. POP3<\/h4>\n<p><b id=\"imap\">Post Office Protocol 3<\/b> (POP3) is an email protocol that is widely used to receive email.<\/p>\n<p>In POP3, your emails are <b>downloaded <\/b>from the server and stored locally on your device.<br \/>\nThis way, you can access your emails even if you\u2019re offline \u2014 you only need to be online to download them!<\/p>\n<h4>B. IMAP<\/h4>\n<p><b>Internet Message Access Protocol<\/b> (IMAP) is the most commonly used protocol for receiving email. The IMAP protocol <b>saves <\/b>all emails onto its servers instead of downloading them to your local storage.<\/p>\n<p>Whenever you want to check your email, your mail client contacts the server and loads the email regardless of the device\u2019s IP address. With IMAP, you can check your emails from anywhere, with any device, on any IP address.<\/p>\n<p>The difference between the\u00a0 IMAP protocol and POP3 is that POP3 downloads your emails from the server for permanent local storage. IMAP, however, simply leaves them in the server and just caches them locally \u2014 sort of like cloud storage.<\/p>\n<p>As there\u2019s no permanent downloading and local storage involved, IMAP is faster and more efficient than POP3.<\/p>\n<h4>C. POP and IMAP vs. SMTP<\/h4>\n<p>POP, IMAP, SMTP \u2014 all this sounds super confusing!<\/p>\n<p>But it\u2019s very simple: SMTP is used as a protocol to send outgoing emails, while IMAP and POP are both protocols used to fetch incoming mail.<\/p>\n<p><a href=\"#this\"><strong>Back to Contents<\/strong><\/a><\/p>\n<h2>Wrapping Up<\/h2>\n<p>Setting up SMTP settings in Outlook is an essential process that\u2019ll help you send out emails to internal and external recipients.<\/p>\n<p>And the easiest way to do it is through the client SMTP submission method.<\/p>\n<p>You can follow the steps I covered above to easily set up SMTP as well as POP and IMAP settings to send and receive emails from your business domain.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Want to set up Office 365 SMTP settings for your email account?
