In the <strong>Google Sheets<\/strong> spreadsheet containing your email addresses, you simply need a <strong>Date<\/strong> column that includes the date on which you&#8217;d like that particular email sent.<\/p>\n<h3>Overview<\/h3>\n<p>The basic steps to send automatic birthday emails in Gmail involve:<\/p>\n<ol>\n<li>Setting up a <strong>Google Sheets<\/strong> spreadsheet containing email addresses and birthdays.<\/li>\n<li>Using GMass to connect to the spreadsheet with a <a href=\"https:\/\/www.gmass.co\/blog\/send-mail-merge-to-selected-rows-spreadsheet\/\">specific filter criteria<\/a>.<\/li>\n<li>Composing the campaign and setting it to <a href=\"https:\/\/www.gmass.co\/blog\/new-feature-recurring-automated-email-campaigns-with-gmail-and-google-sheets\/\">repeat daily<\/a>.<\/li>\n<\/ol>\n<h3>Set\u00a0up your spreadsheet<\/h3>\n<p>Your spreadsheet can contain any number of columns to personalize your emails, but at a minimum, for this to work, it should include <strong>a column for the actual email address<\/strong> and the <strong>date<\/strong>. In this case, we&#8217;ll assume we&#8217;re sending emails to people on their birthdays. In addition to the Email and Birthday columns, we&#8217;ll also include the <strong>first name<\/strong> and\u00a0<strong>last name<\/strong> so that we can send a properly personalized email to each person on his\/her birthday.<\/p>\n<figure id=\"attachment_1375\" aria-describedby=\"caption-attachment-1375\" style=\"width: 1408px\" class=\"wp-caption alignnone\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2017\/06\/Gmail-Birthday-Spreadsheet.gif\" data-rel=\"lightbox-image-0\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-1375 size-full\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2017\/06\/Gmail-Birthday-Spreadsheet.gif\" alt=\"\" width=\"1408\" height=\"1078\" \/><\/a><figcaption id=\"caption-attachment-1375\" class=\"wp-caption-text\"><em>A sample spreadsheet containing a list of people and their birthdays. Note that the birthdays can be in any valid date format and need not contain the year<\/em>.<\/figcaption><\/figure>\n<p><strong>In what format should the date be?<\/strong> Your date column can contain dates with years or without years, and they can be in any recognizable U.S.-based date format. For the date of January 15, 1985 for example, the spreadsheet cell can contain &#8220;1\/15\/85&#8221;, &#8220;1\/15\/1985&#8221;, &#8220;01\/15\/85&#8221;, &#8220;January 15, 1985&#8221;. It should not contain, however, the European date format of &#8220;15\/1\/85&#8221;.<\/p>\n<p>If you want to leave years off of the date, that&#8217;s fine too. &#8220;1\/15&#8221; and\u00a0&#8220;January 15&#8221; are acceptable date values also.<\/p>\n<h3>Set\u00a0up the filter criteria in GMass<\/h3>\n<p>Click the <strong>GMass spreadsheet icon<\/strong> and choose the <strong>spreadsheet<\/strong> and <strong>worksheet<\/strong> that you just set up. Because we don&#8217;t want to send an email to everyone on the spreadsheet, we need to specify filter criteria so that emails only go out when today&#8217;s date matches the date in the <strong>Birthday<\/strong> column.<\/p>\n<figure id=\"attachment_1376\" aria-describedby=\"caption-attachment-1376\" style=\"width: 1348px\" class=\"wp-caption alignnone\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2017\/06\/Gmail-Birthday-Filter.gif\" data-rel=\"lightbox-image-1\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-1376 size-full\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2017\/06\/Gmail-Birthday-Filter.gif\" alt=\"\" width=\"1348\" height=\"850\" \/><\/a><figcaption id=\"caption-attachment-1376\" class=\"wp-caption-text\"><em>The filter criteria is based on the &#8220;Birthday&#8221; column in the spreadsheet. We want to match rows where the Birthday is equal to the current date, without regard to the year of the Birthday.<\/em><\/figcaption><\/figure>\n<p>Once you&#8217;ve inputted the filter criteria, click the <span style=\"color: #993300;\">CONNECT TO SPREADSHEET<\/span>\u00a0button to continue.<\/p>\n<p><em><strong>Note:<\/strong> If it&#8217;s nobody&#8217;s birthday today, then the Gmail Compose window will launch with an alias address in the To field representing 0 addresses. That is normal. It just means that right now, 0 emails will be sent. Since you&#8217;re going to set up the campaign to repeat daily, it will check to see if it&#8217;s anybody&#8217;s birthday on each day the campaign runs.<\/em><\/p>\n<h3>Set up the actual\u00a0mail merge<\/h3>\n<p>A <strong>Compose<\/strong> window in Gmail should have launched where you can enter the <strong>Subject<\/strong> and the <strong>Message<\/strong> for the birthday email. Here I&#8217;ve personalized the <strong>Subject<\/strong> with the recipient&#8217;s first name, and I&#8217;m personalizing the <strong>Message<\/strong>\u00a0with the first name.<\/p>\n<figure id=\"attachment_1377\" aria-describedby=\"caption-attachment-1377\" style=\"width: 1198px\" class=\"wp-caption alignnone\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2017\/06\/Gmail-Birthday-Compose.gif\" data-rel=\"lightbox-image-2\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-1377 size-full\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2017\/06\/Gmail-Birthday-Compose.gif\" alt=\"\" width=\"1198\" height=\"1202\" \/><\/a><figcaption id=\"caption-attachment-1377\" class=\"wp-caption-text\"><em>Don&#8217;t be alarmed by the alias address representing O recipients. Without this setting, the email will send today to anybody whose birthday is today, and then will stop.<\/em><\/figcaption><\/figure>\n<p>That will tell GMass to:<\/p>\n<ol>\n<li>Query the spreadsheet daily for rows where the current date is equal to the <strong>Birthday<\/strong> date.<\/li>\n<li>Send an email to just those people.<\/li>\n<\/ol>\n<h3>You can keep adding rows to your spreadsheet, even after the birthday campaign has started<\/h3>\n<p>You can add more rows to your spreadsheet anytime you wish, and GMass will automatically pick up the new email addresses and dates. You don&#8217;t need to edit your GMass campaign. Just add the new data to the spreadsheet and GMass will detect them and send the emails accordingly on the daily schedule you&#8217;ve already set.<\/p>\n<h3>Best Practices for Birthday Emails<\/h3>\n<p>What makes a good vs bad birthday email campaign?
