Your friends won\u2019t care. Your younger relatives won\u2019t care. Your old relatives might. Your future mother-in-law almost <em>certainly<\/em> will judge you. So keep that in mind.<\/p>\n<p>Back when I got married, my (future) wife and I sent out email save the dates. They worked great. Total recommendation on my end. You\u2019ll have a lot more room to play with, meaning it can become tempting to fill your save the date with all sorts of extraneous info or a 500-word essay on the power of love. (It\u2019s a curious thing. Makes one man weep, makes another man sing.)<\/p>\n<p>You can (and should) still <strong>keep your save the date emails tight<\/strong>. Both for the sake of etiquette \u2014 but also to make sure you&#8217;re not inadvertently setting the wrong tone for your wedding. I&#8217;ve sat through some 90-minute wedding ceremonies. If you send me an essay in the save the date, I&#8217;m already worried about how long you&#8217;re going to talk when it&#8217;s time for your vows.<\/p>\n<p>Here\u2019s what you should and shouldn\u2019t include in your save the dates.<\/p>\n<h3 id=\"What to include in a save the date email\">What to include in a save the date email<\/h3>\n<ul>\n<li><b>The location of the wedding.<\/b>\u00a0Make sure your guests know where they\u2019ll need to travel to for your wedding. This is especially important if you\u2019re having a destination wedding and people need more time to prepare.<\/li>\n<li><b>The wedding date.<\/b>\u00a0You don\u2019t need to include an itinerary for the entire wedding weekend \u2014 and you don\u2019t even need to include the start time of the wedding itself. Just the date is enough at this stage.<\/li>\n<li><b>The wedding website link.<\/b>\u00a0Since you\u2019re sending an email, you should include a link to your wedding website where people can look for more info. (If the wedding website is password protected, make sure to also include the login and password.)<\/li>\n<li><b>\u201dInvitation to follow\u201d wording.<\/b>\u00a0It\u2019s proper etiquette (even with an informal vibe) to let your guests know the \u201creal\u201d invitation is coming in the future.<\/li>\n<\/ul>\n<h3 id=\"What not to include in a save the date email\">What not to include in a save the date email<\/h3>\n<ul>\n<li><b>Venue, hotel, or travel info.<\/b>\u00a0You don\u2019t need to include info yet about your venue (you might not even have it locked down at this point). You also don\u2019t need to share hotel info, travel suggestions, or any other logistical details. It\u2019s too early. For now, the lone goal is to have your guests block off your wedding date on their calendar.<\/li>\n<li><b>A link to your registry.<\/b>\u00a0Sending save the dates via email is not considered tacky \u2014 but sending the registry link in the save the date is. If someone wants to figure out what to send you as a gift, they can hunt that down by going to your wedding website.<\/li>\n<li><b>Lots of prose.<\/b>\u00a0The save the date isn\u2019t the spot to share the story of how you met, how the proposal went down, or any other glorious tales. you may have. It\u2019s all about getting to the point. Don\u2019t turn your wedding into a reading assignment.<\/li>\n<li><b>An RSVP request.<\/b>\u00a0You\u2019ll send the save the date between six and nine months (or so) before your wedding. That\u2019s too early to ask people to RSVP \u2014 that will happen once you send the invitations.<\/li>\n<li><b>Matching colors\/fonts to your wedding theme.<\/b>\u00a0You certainly\u00a0<i>can<\/i>\u00a0make your save the date match your wedding\u2019s color scheme and such \u2014 but you don\u2019t have to. Especially if you haven\u2019t figured all of that out yet. The save the date can stand on its own without a visual tie-in to the rest of your wedding.<\/li>\n<li id=\"threemethods\"><b>A survey.<\/b>\u00a0There\u2019s been a trend in recent years to include a Google Forms or SurveyMonkey survey with digital save the dates. These surveys will ask anything from \u201cHow likely are you to come?\u201d to \u201cWhat foods are you allergic to?\u201d We advise against that (as email pros) because every email needs a clear goal, and the goal here is for the person to save the date. If you want to\u00a0<i>also<\/i>\u00a0send a survey, we recommend you do that in a separate email blast.<\/li>\n<\/ul>\n<h2 id=\"Three Methods to Send Email Save the Dates: Pros &amp; Cons\">Three Methods to Send Email Save the Dates: Pros &amp; Cons<\/h2>\n<p>There are a few different options for how to send out your save the dates via email. Here are the three methods you can use, along with the pros and cons of each.<\/p>\n<h3 id=\"Using a digital invitation service (Paperless Post, Zola, With Joy, Greenvelope, and so on)\">Using a digital invitation service (Paperless Post, Zola, With Joy, Greenvelope, and so on)<\/h3>\n<p>There are lots of services you can use to send out digital save the date emails (as well as lots of other wedding emails). They\u2019ll give you a selection of designs and templates to choose from, you fill in your wedding info, upload your guest list, and they\u2019ll send out the emails.<\/p>\n<h4 id=\"Pros\">Pros<\/h4>\n<ul>\n<li><b>Style.<\/b>\u00a0There are many nice designs to choose from on all of these services.<\/li>\n<li><b>Ease of use (in theory)<\/b>. Makes the process of designing and sending save the date emails easy (in theory, we\u2019ll get into this more later).<\/li>\n<li><b>Flourishes.<\/b>\u00a0They often make the invitations \u201cfeel\u201d real with skeuomorphic details like animated digital envelopes.<\/li>\n<li><b>Bonus features.<\/b>\u00a0Features like prewritten templates, response tracking, and more. (Do note, though, that the tracking will take place on their website, not in your wedding spreadsheet.)<\/li>\n<\/ul>\n<h4 id=\"Cons\">Cons<\/h4>\n<ul>\n<li><b>Way more expensive than you&#8217;re anticipating.<\/b>\u00a0The costs can\u00a0<i>really<\/i>\u00a0add up; for instance, when I tested out Paperless Post, it was going to cost me more than $75 to send my fairly basic save the date to 100 people.<\/li>\n<li><b>The process isn\u2019t as easy as it seems.<\/b>\u00a0Using one of the digital invite sites seems easy. But when you find yourself spending hours choosing fonts, colors, and designs\u2026 navigating through page after page after page of sometimes confusing options\u2026 uploading a CSV file of your guests\u2026 and running into mandatory form fields you don\u2019t want to fill in (like wedding time) \u2014 you\u2019ll wind up spending hours on this project anyway.<\/li>\n<li><b>Limited personalization.<\/b>\u00a0One of the best parts of email save the dates is the option to use personalization; there\u2019s little to no personalization offered by the digital invitation services we tested.<\/li>\n<\/ul>\n<h3 id=\"Sending a mass email to your guests, BCCing all of them\">Sending a mass email to your guests, BCCing all of them<\/h3>\n<p>You&#8217;ve done this technique before with other emails in the past: You write an email, dump all of your guests\u2019 email addresses into the BCC field, and hit send.<\/p>\n<h4 id=\"Pros\">Pros<\/h4>\n<ul>\n<li><b>Cost (there is none).<\/b>\u00a0You can fire off this email without spending a dime.<\/li>\n<li><b>Ease.<\/b>\u00a0You know how to write an email, paste addresses into the BCC field, and hit send. There\u2019s nothing here complex at all.<\/li>\n<li><b>Speed.<\/b>\u00a0You could fire this email off in about five minutes or less. Boom, save the dates done.<\/li>\n<\/ul>\n<h4 id=\"Cons\">Cons<\/h4>\n<ul>\n<li><b>This is the tackiest way.<\/b>\u00a0I\u2019ve already dropped the dreaded \u201ct\u201d word a few times in this article, because tackiness\u00a0<i>is<\/i>\u00a0a genuine concern with email save the dates. And while sending save the dates over email is largely destigmatized today and not considered d\u00e9class\u00e9 or cheap \u2014 sending a save the date email as a BCCed mass email still kind of is. It\u00a0<i>looks<\/i>\u00a0about one or two steps too cheap.<\/li>\n<li><b>Impersonal.<\/b> You can\u2019t personalize your emails at all with <a href=\"https:\/\/www.gmass.co\/blog\/use-bcc-in-email\/\">the BCC email method<\/a>. That adds to the whole cheapness feel around this method of sending save the dates.<\/li>\n<li><b>Design.<\/b>\u00a0It\u2019s harder to use any nice design elements in your email with the BCC method (unless you\u2019re ready to edit source code or make some serious compromises). For instance, you won&#8217;t be able to change the background color of the email.<\/li>\n<li><b>No tracking.<\/b>\u00a0You won\u2019t be able to track opens or clicks with your BCC emails, limiting their value.<\/li>\n<\/ul>\n<h3 id=\"Sending your wedding emails through an email service provider app\">Sending your wedding emails through an email service provider app<\/h3>\n<p>The third option \u2014 and the one we\u2019ll walk you through in the rest of the article \u2014 is sending your wedding emails from your own email address, but using an email app for things like personalization, tracking, and more.<\/p>\n<p>Here at GMass, we\u2019ve become very popular with couples sending their save the dates (and lots of other wedding correspondence) via email.<\/p>\n<p>You\u2019ll keep costs down without having to sacrifice the other features of the digital invitation services. You\u2019ll be able to personalize, track, and use designs. And you\u2019ll get all the best features of the BCC method, like ease and speed, without the stigma.<\/p>\n<h4 id=\"Pros\">Pros<\/h4>\n<ul>\n<li><b>Cost.<\/b> Sending this way will be a lot cheaper than using a digital invitation service. We\u2019ll walk you through options below but you can pull off the entire process for right around $25. (Plus that cost will also cover any <a href=\"https:\/\/www.gmass.co\/uses\/gmail-wedding-invites\">other mass emails you send for your wedding<\/a>.)<\/li>\n<li><b>Ease of use.<\/b>\u00a0With the right email service provider app, you\u2019ll be able to send your save the dates through your own Gmail (or from your wedding email address\u2019s Gmail or Google Workspace account).<\/li>\n<li><b>Personalization.<\/b>\u00a0You\u2019ll be able to highly personalize each save the date as much as you want. Later in this article we\u2019ll even cover a technique where you can set up invitations based on whether you\u2019re inviting a single person, a single person with a plus one, or a couple.<\/li>\n<li><b>Tracking.<\/b>\u00a0You\u2019ll be able to track who opens your save the date email and who clicks your links. Plus you\u2019ll be able to do all of that in Google Sheets, not on a digital invitation service\u2019s website.<\/li>\n<\/ul>\n<h4 id=\"Cons\">Cons<\/h4>\n<ul>\n<li id=\"templates\"><b>Predesigned templates.<\/b>\u00a0You\u2019ll have to find your own design template to use for your save the date invitations. (Don\u2019t worry, we\u2019ll point you in the right direction and walk you through the simple steps.)<\/li>\n<li><b>Not as fast as the BCC method.<\/b>\u00a0This method will take roughly the same amount of time as using a digital invitation service (if not less). But it won\u2019t be as fast as the BCC method, because it will take a little more time and care for things like design and personalization.<\/li>\n<\/ul>\n<h2 id=\"Save the Date Email Templates\">Save the Date Email Templates<\/h2>\n<p>Here are some templates you can use for your save the date emails. We\u2019ll cover three types of templates here: Subject lines for your email\u2026 the email message itself\u2026 and the best free (or inexpensive) visual design options.<\/p>\n<h3 id=\"10 save the date email subject line ideas\">10 save the date email subject line ideas<\/h3>\n<p>The subject line of a save the date email isn\u2019t as important as, say, the subject line of a cold outreach email. Many of your guests will see an email from you with the subject line \u201csave the date\u201d and open it instantly.<\/p>\n<p>The role of the subject line here is mainly to <strong>cut through the clutter in your guests\u2019 inboxes<\/strong> to make sure they\u00a0<i>do<\/i>\u00a0see the email and open it.<\/p>\n<p>Here are 10 ideas for save the date email subject lines you can use.<\/p>\n<h4 id=\"Direct and simple\">Direct and simple<\/h4>\n<blockquote style=\"background: #EDEDED; padding: 50px;\"><p>Save the date! 6\/30\/2023<\/p><\/blockquote>\n<p>This is a nice, simple subject line. I grabbed the image of the couple from a stock photo site and uploaded it in Canva&#8217;s Uploads section on the left. I also changed the background color from pink to brown (brown is the most romantic color, don&#8217;t @ me). A list will pop up with all of the column names from your Google Sheet \u2014 you can use any of those as a merge field.<\/p>\n<p>For our example, we\u2019ll use conditional formatting to add the right language based on whether you\u2019re inviting a couple, the person alone, or the person with a guest. Both have slight downsides (AddEvent will only let 100 people per month add your link to the calendar; Eventable has a long signup process and the buttons for your email don&#8217;t look amazing) \u2014 but they&#8217;re generally easy, code-free ways to get &#8220;add to calendar&#8221; links for your email.<\/p>\n<p>You could also generate the links to different calendars yourself using\u00a0<a href=\"https:\/\/parcel.io\/tools\/calendar\">this website<\/a>, but then you&#8217;ll need to manually lay out the links inside your email.
