The 6 Things You Need to Figure Out Before You Send the Invites<\/h2>\n
Good news: If you have the answers to these six questions, you\u2019ll be sending invitations within a half hour (or less). If you don\u2019t have these answers, you\u2019ll need to figure them out before sending the invites.<\/p>\n
Who\u2019s on the bachelorette party invite list?<\/h3>\n
You need to\u00a0coordinate with the bride on who\u2019s invited<\/b>\u00a0to the bachelorette party before you start sending invitations. (We hope that\u2019s an obvious step\u2026 but you\u2019d be surprised).<\/p>\n
To prepare for sending the invitations, you need to\u00a0make a Google Sheet with everyone\u2019s first name, last name, and email address<\/b>. (You can see my example below.) You\u2019ll use that Sheet for the invitations we send later in this guide.<\/p>\n

When are you throwing the party?<\/h3>\n
Make sure you\u2019ve locked down the bachelorette party dates before you send out the invitations. You never \u2014\u00a0never<\/i>\u00a0\u2014 want to send this invitation email asking people what dates work for them.<\/p>\n
If you want to get group input on the date, you could send a separate email first with a\u00a0Doodle<\/a>\u00a0(where people can mark which dates do and don\u2019t work for them). But send that well before you send the invites. And know you\u2019ll probably face a scenario where there\u2019s no weekend that works for everyone so you\u2019ll have to decide who\u2019s getting left out. Sounds like a fun job.<\/p>\n
Where are you throwing the party?<\/h3>\n
You\u00a0don\u2019t have to figure out the entire itinerary<\/b>\u00a0for the party before you send the email. But you do need to decide where the party is (so people will know if travel is involved\u00a0and<\/i>\u00a0to build hype).<\/p>\n
What\u2019s the estimated cost?<\/h3>\n
While you don\u2019t need to provide an exact cost for the bachelorette party here, it\u2019s good to give an estimate (or, at the very least, hint at the cost).\u00a0Cost is a major consideration<\/b>\u00a0in whether or not someone attends a bachelorette party.<\/p>\n
Is the bachelorette party a surprise?<\/h3>\n
If the bachelorette party is a surprise \u2014 or elements of it are a surprise \u2014 you\u00a0need<\/i>\u00a0to indicate that in this invitation. And even when you do, there\u2019s still at least a 40% chance someone accidentally blows the secret.<\/p>\n
Is this the right time to send the invitations?<\/h3>\n
You just got the maid-of-honor call. And even though the wedding isn\u2019t for another year-and-a-half, you\u2019re ready to take care of business now. Time to pump the brakes.<\/p>\n
It\u2019s good to\u00a0give approximately three months\u2019 notice<\/b>\u00a0for the bachelorette party, or four months if travel is involved (or it\u2019s during the summer, when people\u2019s calendars fill up).<\/p>\n
Any earlier than that and you should probably send a save-the-date rather than an invitation. And if you\u2019re a lot later than that and the bachelorette party is supposed to be around six weeks away\u2026 let\u2019s get these invites out ASAP.<\/p>\n

One of the overwhelming parts of the bachelorette invite process is figuring out how to send the invitations. Here are your four options, along with their pros and cons.<\/p>\n
Sending invitations in the mail<\/h3>\n
In our article on\u00a0sending bachelor party invitations<\/a>, we did not include the mail option. It\u2019s not a thing people do for bachelor parties. Unfortunately, it\u00a0is<\/i>\u00a0a thing people do sometimes for bachelorette parties \u2014 adding to your list of decisions.<\/p>\n
Pros<\/h4>\n
- \n
- The most formal approach.<\/b>\u00a0People respond to mail invitations different than digital invitations. The invitations that come through the post office carry extra gravitas. You\u2019ll definitely establish a formal, prestigious vibe with these invitations.<\/li>\n
- Shows effort and expenditure.<\/b>\u00a0There are a lot more steps and there\u2019s a lot more cost involved in mailing invitations compared to sending them digitally. The people you invite will take notice \u2014 as will the bride.<\/li>\n
- They\u2019re tough to ignore.<\/b>\u00a0The guests will see your invitations and will feel an obligation to respond.<\/li>\n<\/ul>\n
Cons<\/h4>\n
- \n
- The cost.<\/b>\u00a0Do you want to sink $100 into just the\u00a0invitations<\/i>\u00a0for the bachelorette party? I priced out 25 fairly basic invitations at Minted<\/a> and that\u2019s what they came out to.<\/li>\n
- Better to save it for the shower.<\/b>\u00a0Printed invitations make a lot of sense for a bridal shower. That\u2019s a more formal occasion. The bachelorette party is more informal. If you send printed invitations for everything, they stop feeling so special.<\/li>\n
- More legwork required.<\/b>\u00a0Getting people\u2019s mailing addresses is always more work than getting their email addresses. The bride will have to track down those physical addresses for you \u2014 which means you\u2019re adding more work for her.<\/li>\n
- Harder to make last-minute invites.<\/b>\u00a0Your bachelorette party guest list might be the final list. But there\u2019s a decent chance the bride will decide later on that she wants to invite a few other people. (Or if you\u2019re getting a\u00a0really<\/i>\u00a0bad response rate on RSVPs, you might need to expand the guest list.) With printed invitations it becomes a lot more complicated to invite extra people down the road.<\/li>\n
- You may have to follow up with email anyway.<\/b>\u00a0Not everyone will respond to your mail invitation, which means you\u2019ll have to track them down to get responses. You\u2019ll probably turn to email for that. Later in this section we\u2019ll talk about much more efficient ways to send emails that get RSVPs.<\/li>\n<\/ul>\n
Sending a mass email with everyone CCed or BCCed<\/h3>\n
The first email option we\u2019ll cover here is the easiest one \u2014 but also one that has far more downside than upside.<\/p>\n
Pros<\/h4>\n

- It\u2019s free.<\/b>\u00a0You won\u2019t have to pay anything if you send a mass email with everyone CCed.<\/li>\n
- It\u2019s very easy.<\/b>\u00a0You\u2019ve done this before: Throwing a bunch of email addresses in the CC field, typing a message, and sending. Couldn\u2019t be easier.<\/li>\n
- It\u2019s very quick.<\/b>\u00a0If you\u2019re willing to send a plain text email with no design, you could fire off these invitations in a matter of minutes.<\/li>\n<\/ul>\n
Cons<\/h4>\n
- \n
- It looks low effort.<\/b>\u00a0A bachelorette party is an important wedding milestone that requires a time commitment and financial commitment from everyone involved. You significantly undercut it by going so low effort with the invitations \u2014 and it can affect everyone\u2019s perception of and excitement toward the party. You also risk disappointing the bride with this method.<\/li>\n
- It\u2019s impersonal.<\/b>\u00a0There\u2019s nothing personal about a mass email. In fact, it sends the message you weren\u2019t even all that thoughtful or selective about the guest list.<\/li>\n

Cons<\/h4>\n

- Spending money but doesn\u2019t really look like it.<\/b>\u00a0Most of the digital invitation services will charge you for these emails. It won\u2019t be a ton of money, but it will be something \u2014 and it won\u2019t really look like it. With printed invitations, you\u2019ll spend more \u2014 and it\u2019s\u00a0clear<\/i>\u00a0you spent money. Next up in this guide we\u2019ll show you how to make emails that look good without spending the money.<\/li>\n
- Too generic.<\/b>\u00a0You may be fine using a template others have used for your emails. But people can only receive so many \u201clast fling before the ring\u201d generic email invitations before they start to lose impact.<\/li>\n
- No follow-ups.<\/b>\u00a0You can\u2019t send personalized automated follow-ups to people who haven\u2019t RSVPed. Which means you\u2019ll have to put in a lot of manual leg work to track those people down.<\/li>\n<\/ul>\n

Now that you have the guest list done, all the details locked, and you know what you want to say in your email, it\u2019s time to design it.<\/p>\n
Step 1: Design the invitation in Canva<\/h3>\n
If you\u2019re not familiar with Canva, it\u2019s a website where you can design pretty much everything (including, naturally, bachelorette party invitations) without needing to know Photoshop or any other design software. And they have plenty of free invitation design options, which we\u2019ll use here.<\/p>\n
Head to Canva (we\u2019ve filtered a\u00a0search<\/a>\u00a0for free bachelorette party invitations) to start designing. If you\u2019ve used Canva or you have a good eye for design, you can also make your own.<\/p>\n

You can\u00a0use Gmail\u2019s standard formatting options<\/b>\u00a0to design the rest of your email. Change the font, colors, size, or spacing until everything looks good. I centered everything as well and added lines above the invitation and below my text.<\/p>\n

Decide on your subject line (from the choices we gave you above or your own). Then write that in the subject line.<\/p>\n
I decided I wanted to\u00a0use personalization in the subject line<\/b>\u00a0to make it clear this email is personalized, using the {FirstName} merge tag again.<\/p>\n

Now that your email is designed, we\u2019re going to set up plain text follow-up messages to\u00a0nudge people to reply<\/b>\u00a0if they haven\u2019t.<\/p>\n
Go back into the GMass settings box and click on \u201cAuto Follow-up.\u201d<\/p>\n

<\/a><\/p>\nCheck the box on Stage 1. Leave the dropdown menu set to \u201cNo Reply\u201d; that means this follow-up will only go out if the person hasn\u2019t replied to your first email. I set this one to go out 4 days after my first email.<\/p>\n
Then type a quick sentence in the box. You want these follow-ups to\u00a0feel like you just fired off a quick, individual email to the person<\/b>.<\/p>\n
As you can see in the image below, I set up three follow-ups to go out over the course of about two weeks. And these messages will stop to each person once they\u2019ve replied.<\/p>\n

Everything set and looking good? Time to send yourself a\u00a0test of the email sequence<\/a>\u00a0so you can see what the invitation and the follow-ups will look like. You can make sure the mail merge is working and all looks good.<\/p>\n
In the GMass settings, put your email in the \u201cSend Test Email\u201d box. Then click the arrow next to the Send Test button and choose \u201cSend all stages.\u201d<\/p>\n
