If you\u2019re using\u00a0GMass for teams<\/a>, you may wind up in scenarios where you want to tag team an email campaign.<\/p>\n

\"\"<\/a><\/p>\n

That is: A scenario where\u00a0one team member handles the initial outreach<\/b>, then\u00a0another team member jumps in for the follow up sequence<\/b>.<\/p>\n

A GMass user named Jeff recently asked us if that would be possible:<\/p>\n

I send a blast, [my teammate] is CCed, and he wants to automate his response.<\/i><\/p><\/blockquote>\n

The good news:\u00a0It is possible<\/b>\u00a0for you to\u00a0send a mass email<\/a>\u00a0then have someone else handle following up.<\/p>\n

But it can be a little bit complicated.<\/p>\n

So in this post, we\u2019ll walk you through how to send a mass email then\u00a0have a team member handle follow-ups<\/b>\u00a0to non-responders.<\/p>\n

Having a Team Member Send Follow-Ups to Your Mass Email<\/h2>\n

In order to have a team member send follow-ups to your messages,\u00a0you\u2019ll both need GMass accounts<\/b>. (You can be on the same team plan or have separate accounts. The team plan is a\u00a0cheaper option<\/a>\u00a0if you have five or more people using GMass.)<\/p>\n

Step 1: Share your Google Sheet of contacts<\/h3>\n

Create your Google Sheet of contacts for the campaign.<\/p>\n

Share the Google Sheet with your team member.<\/b>\u00a0They\u2019ll need access in order to use it for the future steps of this process. Make sure they open it once after they receive the sharing invite.<\/p>\n

Step 2: Connect your Google Sheet to a new GMass campaign with reporting turned on<\/h3>\n

Connect your Google Sheet to your GMass campaign<\/b>\u00a0as you normally do. (I always go with the little GMass icon button in the \u201cTo\u201d field of the GMass compose window.)<\/p>\n

Choose your Google Sheet from the dropdown.<\/p>\n

Important:<\/b>\u00a0Click into the Optional Settings and\u00a0make sure \u201cUpdate Sheet with reporting data\u201d is turned on<\/b>. We need that reporting data in the sheet to make this specific follow-up process work.<\/p>\n

Then click the \u201cConnect to Spreadsheet\u201d button.<\/p>\n

Step 3: Send the initial mass email with your team member CCed<\/h3>\n

Create the initial email and\u00a0add your team member in the CC field<\/b>.<\/p>\n

While GMass has the capabilities to send emails with\u00a0personalized CCs and BCCs for every email<\/a>, here you just need to use a static CC. So\u00a0manually type your team member\u2019s email address in the Gmail compose window<\/b>. (There\u2019s no need to create a \u201cCC\u201d column in your spreadsheet where you repeat the same CC address every time.)<\/p>\n

For my example below, I CCed my \u201cteammate\u201d (aka one of my other email addresses).<\/p>\n

Send the mass email by hitting the GMass button. Say \u201cYes, I\u2019m sure\u201d to the pop-up message warning you about having someone CCed.<\/p>\n

Step 4: Wait for the replies to roll in<\/h3>\n

Give your recipients time to reply to the email. (Whatever delay you\u2019d normally use in an auto follow-up sequence \u2014 maybe two or three days?)<\/p>\n

You can track the results with any of GMass\u2019s\u00a0reporting options<\/a>. The one we\u2019re most interested in here is the\u00a0reporting inside of the campaign\u2019s Google Sheet<\/b>.<\/p>\n

Some people may reply all so the responses go to you and your teammate. Some people may just reply to you. Either way, your Google Sheet will put an \u201cX\u201d in the REPLIED column.<\/p>\n

Step 5: Your teammate connects the Google Sheet to create the follow-up campaign<\/h3>\n

Now it\u2019s time to set up the campaign.<\/p>\n

Your team member creates a new campaign in GMass. They connect to a Google Sheet for the campaign. And because you shared the campaign Google Sheet with them, it\u2019s one of the options in their dropdown.<\/p>\n

They need to set up a\u00a0filter<\/b>\u00a0so this campaign only goes to contacts who didn\u2019t reply. So they need to enter this into the Filter Rows box:\u00a0REPLIED != X<\/code>.<\/p>\n

If you don\u2019t speak that syntax, that means we\u2019re looking for Google Sheet rows where there\u2019s no X in the REPLIED column.<\/i><\/p>\n

\"Connecting<\/a><\/p>\n

They click the \u201cConnect to Spreadsheet\u201d and\u00a0their campaign will only pull in the contacts who didn\u2019t reply<\/b>. (In my example, there were three who didn\u2019t reply \u2014 those are the three who are in my new follow-up campaign.)<\/p>\n

Step 6: Send the message as a reply to the prior conversation<\/h3>\n

Your team member can now write the follow-up in the Gmail compose window.<\/p>\n

They can make the subject line anything, because we\u2019ll send these as replies to the prior conversation (so recipients won\u2019t see the subject).\u00a0That\u2019s<\/i>\u00a0why we CCed the team member on all of them \u2014 and that will make the follow-ups feel like a seamless response.<\/p>\n

Your team member can CC you on this email or not \u2014 it depends if you want to stay in the loop on the follow-ups.<\/p>\n

To send as replies to the prior conversation, your team member can go into the GMass settings box for the campaign. In the Advanced section,\u00a0choose to \u201cSend as\u201d Replies<\/b>. And they should send as replies to the \u201cLast conversation with recipient.\u201d<\/p>\n

If you want your team member to send multiple, automated follow-ups until they get a reply,\u00a0they can set that up in the Auto Follow-up section<\/b>\u00a0of the settings.<\/p>\n

\"Sending<\/a><\/h3>\n

(If you want to be CCed on each of those follow-ups, they\u2019d need to create them as\u00a0rich-text emails<\/a>\u00a0and CC you as they compose them.)<\/p>\n

Step 7: Send the follow-ups<\/h3>\n

Once everything is set, your team member can send the follow-ups using the red GMass button.<\/p>\n

Here\u2019s what those follow-ups look like for the recipients.<\/b>\u00a0As you can see, they\u2019re replies to the original campaign email in the same thread \u2014 only they come from your teammate, not from you.<\/p>\n

That\u2019s it! Your team member is now sending the replies to your original mass email and can correspond with your contacts from there.<\/p>\n
