But as league commissioner, there\u2019s a set of other\u00a0crucial emails you need to send before, during, and after the season<\/b>.<\/p>\n
After all, Yahoo may be able to tell you how many fantasy points Amari Cooper had on Sunday\u2026 but they can\u2019t tell you whether Jeff is going to be available to hold your draft in Vegas on August 21st. (It\u2019s always someone named Jeff holding things up. In every fantasy league now and throughout history.)<\/p>\n
In this guide we\u2019ll cover four emails fantasy football (and fantasy baseball, basketball, hockey, golf, pro wrestling, Bachelorette<\/i>, and everything else) commissioners need to send.<\/p>\n
And we\u2019ll cover\u00a0how to send these mass emails in GMass for easy personalization, follow-ups, and more<\/b>\u00a0\u2014 without ever having to leave Gmail.<\/p>\n GMass is a Chrome extension that transforms your Gmail (or Google Workspace) account into a mass email platform<\/a>.<\/strong> With GMass you can send personalized, individual emails to large or small groups without having to use BCC or an external email service like Mailchimp.<\/p>\n It\u2019s free to get started with GMass \u2014 you\u2019ll be able to use all the features of the platform and you can send 50 emails a day during your trial.<\/p>\n So before we jump into this guide, there are two things you should take care of\u2026<\/p>\n You can grab GMass from the\u00a0Chrome Web Store<\/a>.<\/p>\n If you want a brief introduction to GMass, what it can do, and how it slides right into Gmail, you can take a swing through the\u00a0GMass quickstart guide<\/a>.<\/p>\n You could even do a test run of GMass by sending a league-wide announcement.<\/p>\n You\u2019ll need everyone\u2019s email in your\u00a0Google Sheet<\/a>\u00a0at a minimum. But as you can see from my example, I also included first names, last names, team names, and team ownership role. Make sure to include yourself as well \u2014 that\u2019s key for testing purposes.<\/p>\n As a commissioner, you may have to account for teams with multiple owners. I set up my spreadsheet here with every league participant on their own row, even if they co-own a team. In each case I\u2019ve designated who the primary owner is, which will come up in\u00a0situations like voting on league rules and payments<\/b>.<\/p>\n And yes, I\u2019m doing an eight-team league for my examples. If it was good enough for\u00a0The League<\/i>\u00a0it\u2019s good enough for me.<\/p>\n Now on to the emails\u2026<\/p>\n Coordinating on a time<\/b>\u00a0when everyone is available to draft is more challenging than it should be. Especially if you\u2019re doing an in-person draft. And double especially if you\u2019re doing a destination draft.<\/p>\n But as commissioner,\u00a0it\u2019s your job to make sure no one ends up needing to use auto-draft<\/b>\u2026 and then winds up with five kickers and three defenses.<\/p>\n In this example we\u2019ll go through setting up a scheduling poll with\u00a0Google Forms<\/a>, sending it out with GMass, then automatically following up with people who haven\u2019t put in their available dates.<\/p>\n Create a new poll on Google Forms to get started. Use the \u201cMultiple choice grid\u201d option to input your various time options.<\/p>\n In the Settings section of Google Forms, choose to collect email addresses.<\/p>\n Then in the Responses section of Google Forms, click the Google Sheets icon to collect responses. You can choose either to Create a new spreadsheet or Select existing spreadsheet. (If you select your league spreadsheet, Google will add responses in a new sheet tab. It\u2019s a good way to keep everything organized.)<\/p>\n Next, check your survey to make sure everything looks right.<\/p>\n Then click the Send button in Google Forms.<\/p>\n We won\u2019t use the Google Forms email option because we want to be able to send follow-ups to people who don\u2019t respond. So we\u2019ll\u00a0grab the link<\/b>\u00a0to the survey instead.<\/p>\n Go to Gmail and open a new compose window.<\/p>\n Click into the Recipients field, then click the GMass icon that appears on the right.<\/p>\n Choose to add recipients \u201cFrom a Google Sheet.\u201d<\/p>\n Choose your Google Sheet from the dropdown, and pick the correct sheet (\u201cForm Responses 1\u201d would be the incorrect sheet. Google Forms may have added that to this file.)<\/p>\n In the optional settings, choose to Update Sheet with reporting data.<\/p>\n You can now write your email like any normal Gmail message.<\/p>\n We\u2019ll use\u00a0mail merge personalization<\/a>\u00a0to add people\u2019s names to the subject line and the email message to try to (1) better\u00a0get their attention<\/b>\u00a0and (2) make it clear\u00a0we\u2019re specifically talking to them<\/b>.<\/p>\n GMass brings\u00a0mail merge to Gmail<\/a>\u00a0\u2014 and it\u2019s all via the columns in your Google Sheet. When you type a left curly brace\u00a0 I\u2019ll use those merge fields to add the owner\u2019s first name to the subject and message. I also added a mention of their team name to put a little fear into them.<\/p>\n We want to use\u00a0automated follow-ups<\/a>\u00a0for people who don\u2019t vote in the scheduling survey.<\/p>\n Click on the little arrow next to the red GMass button in the compose window to bring up the campaign settings for this email.<\/p>\n Click into the section that says\u00a0Auto Follow-up<\/b>.<\/p>\n Check the box under Stage 1. Set it If\u00a0 Why \u201cNo Click\u201d? That means this auto follow-up will go out unless the person has clicked on the link in the prior email.<\/p>\n We\u2019re going to assume if someone clicks on the survey link, they\u2019ll vote on dates. If they don\u2019t click on the survey, they won\u2019t.<\/p>\n This does not, however, account for people who click the survey but don\u2019t vote. We\u00a0could<\/i>\u00a0create a more complicated workaround here to account for that situation (if you want to create it on your own, it involves GMass\u00a0suppression lists<\/a>). But rather than going through that, we\u2019ll\u00a0assume clicks are an almost-exact proxy for voting<\/b>.<\/p>\n You can set up a few more auto follow-ups if you\u2019d like; I recommend sending one every few days. In my example, I\u2019ve set up four auto follow-ups. I assume by that point everyone will be tired of my emails and will vote. And that\u2019s what this is all about: Wearing down people to the point where their laziness is now the\u00a0less appealing<\/i>\u00a0life choice.<\/p>\n Once your email is all set, it\u2019s good to\u00a0test it by sending it to yourself<\/b>.<\/p>\n You can see how the first message and all the follow-ups will look by clicking the arrow next to Send Test at the top of the GMass settings box.<\/p>\n In the menu that appears, check the box next to \u201cSend all stages.\u201d<\/p>\n Then click the Send Test button. You should get the entire email sequence in your inbox.<\/p>\n Everything looks good to me. The mail merge fields all filled in properly and the auto follow-ups look how they\u2019re supposed to.<\/p>\n For testing purposes, I also clicked through the link and took the survey \u2014 I want to see what the players will experience.<\/p>\n All looks good there as well and\u00a0Google Forms correctly recorded my responses<\/b>.<\/p>\n So since everything is set, I can\u00a0send the first email by clicking the red GMass button<\/b>. (And then, all follow-ups will go out automatically to people who don\u2019t click.)<\/p>\n The next email we\u2019ll cover is one to alert owners about a vote on new rules.<\/p>\n Like the scheduling email, this one involves a poll. But unlike the scheduling one, here\u00a0we want only one vote per team<\/b>. (After all, if some teams have two owners, they shouldn\u2019t have double the voting power.)<\/p>\n So in this situation, we\u2019ll use a filter to ensure it\u2019s one vote per team.<\/p>\n Create your voting form in Google Forms using the Multiple choice grid.<\/p>\n In the Settings, choose to collect email addresses and limit to one response.<\/p>\n Then click the Send button, and copy the link to your survey to include in your emails.<\/p>\n Now that the voting form is built, your next step is to set up a campaign.<\/p>\n As I mentioned earlier, we want to ensure each team only gets one vote. So\u00a0we\u2019ll use GMass filtering<\/b>\u00a0to remove secondary owners as we connect our sheet.<\/p>\n Create a campaign and click on the GMass icon in the To field to connect to your spreadsheet.<\/p>\n Choose your Google Sheet from the dropdown.<\/p>\n Expand the Optional Settings to use the\u00a0Filter Rows feature<\/a>.<\/p>\n In my league spreadsheet, I gave each person a \u201cRole\u201d: Sole for sole owners, Primary for primary owners of co-owned teams, and Secondary for secondary owners of co-owned teams.<\/p>\n We only want this email to go out to the Sole and Primary owners.<\/p>\n So in the Filter Rows section, I\u2019ll add the filter\u00a0 Now when I click the \u201cConnect to Spreadsheet\u201d button, GMass will only pull in the emails of people in the Sole or Primary ownership roles.<\/p>\n You can compose your voting email now. Since we\u2019re doing one vote per team, I\u2019m addressing people by their team name here mostly, using the corresponding mail merge field.<\/p>\n I\u2019m going to use\u00a0GMass\u2019s conditional content<\/a>\u00a0to add a special message to teams with co-owners \u2014 letting them know they need to discuss before voting.<\/p>\n So I\u2019ll add this at the end of the P.S.:\u00a0 Now people who have a secondary owner or owners will get this extra, personalized reminder in the email.<\/p>\n We\u2019ll\u00a0set up auto follow-ups<\/b>\u00a0for this email \u2014 which will go out automatically to people who don\u2019t click the voting link.<\/p>\n Click the arrow next to the GMass button to bring up the GMass settings for the campaign.<\/p>\n Go into the Auto Follow-up section and check the box under Stage 1. Then set up your first follow-up to go out if there\u2019s\u00a0 You can set up more stages in your auto follow-up sequence from there. In this example, I set up two more. Also notice\u00a0I used the \u201cset time\u201d feature in the last one<\/b>\u00a0to really give people the feeling of a ticking clock.<\/p>\n Send yourself a\u00a0test of the sequence<\/a>\u00a0by clicking the arrow next to the purple Send Test button in the GMass settings box, then checking the box next to \u201cSend all stages.\u201d Click the Send Test button, and you should receive the entire sequence in your inbox.<\/p>\n Everything looks right to me. Since I\u2019m a sole owner of my team, I didn\u2019t get the special message that goes out to someone with a co-owner.<\/p>\n If you want to test how the emails to everyone will look (not just your own) to make sure that conditional content works right, you can go to the GMass settings box for the campaign and\u00a0choose to \u201cCreate Drafts\u201d in the Action section<\/b>.<\/p>\n Then, when you press the GMass button to send the campaign, all of the emails will go to your Gmail Drafts folder. You can check them out, make sure they all look right \u2014 then click a link in an email you\u2019ll get from GMass to\u00a0send those drafts<\/a>\u00a0out to your owners.<\/p>\n You can test out your Google Form by clicking through your link and voting.<\/p>\n Everything worked correct and I can see my voting results are now showing up.<\/p>\n Since everything looks right, you can\u00a0hit the red GMass button to send your campaign<\/b>. The follow-ups will go out as scheduled to people who don\u2019t click.<\/p>\n One of the main ways people use GMass? As a\u00a0cold email tool<\/a>. While the emails you\u2019re sending to potential new members aren\u2019t necessarily cold emails \u2014 a lot of the standard\u00a0cold email strategies<\/a>\u00a0still apply.<\/p>\n You need to catch their eye with a subject line, send them a personalized message and pitch, and send automated follow-ups until they reply.<\/p>\n Put your potential new members into a Google Sheet before you send this campaign. In my sheet, I included columns for email, first name, and last name. I also included a column where I typed up a one-sentence explanation of why they\u2019re receiving this email. (And I included myself as the first row, for testing purposes.)<\/p>\n Once your sheet is ready, connect it to a new GMass campaign. (Like before, open a Gmail compose window. Click into the Recipients field, then click the GMass icon that appears. Connect to your Google Sheet.)<\/p>\n Much like a standard cold email, you need to accomplish a lot with this email using limited words:<\/p>\n Here\u2019s the email I put together to achieve all that:<\/p>\n I personalized the email by adding their first name in the subject and the message. I also included that \u201cHow\u201d field to let them know the reason they\u2019re getting this email. That will make these emails feel\u00a0especially<\/i>\u00a0personalized.<\/p>\n If I were writing a cold email, I probably wouldn\u2019t include such a long paragraph of details. But for this fantasy league, I wanted to hit the key points to pique the person\u2019s interest. And I figured they\u2019d read a little more, since this isn\u2019t a purely cold email (it\u2019s more of a lukewarm email).<\/p>\n I\u00a0ended the email with a call-to-action<\/b>, telling the person to reply if they\u2019re interested. And I added the line about only adding two people to\u00a0increase the sense of urgency via scarcity<\/b>\u00a0\u2014 which should spur a faster reply. Plus I threw the joke in there because this is fantasy football, not life or death.<\/p>\n There\u2019s one more tactic I\u2019m going to use to catch a prospect\u2019s eye in the inbox, and that\u2019s the\u00a0preview text<\/b>.\u00a0Preview text<\/a>\u00a0is the text that appears next to or under the subject line in someone\u2019s inbox.<\/p>\n In this case, I\u2019m going to put my {How} field into the preview text. That way these prospects will see their friend\u2019s name in the inbox and be more likely to open this email.<\/p>\n To set the preview text, click the arrow next to the GMass button to pull up the GMass settings. Go into the Advanced section.<\/p>\n You can\u00a0type anything into the preview text<\/b>\u00a0\u2014 including any merge tags. In this case, I used the {How} merge tag.<\/p>\n We don\u2019t want to bombard these prospects with emails \u2014 but we\u00a0do<\/i>\u00a0want to give them every chance to respond. So I\u2019m going to use a sequence of two follow-ups.<\/p>\n I\u2019ll send the first after one day and the next four days after that.<\/p>\n To set the auto follow-ups, go into the GMass settings. Open the Auto Follow-ups section, and set the first reply to go out If\u00a0 Test the sequence by sending it to yourself. Click the arrow next to the purple Send Test button in the GMass settings and choose to Send all stages. Then hit the Send Test button.<\/p>\n The first thing I see in my inbox is\u00a0the preview text worked right<\/b>. That\u2019s my personalized {How} message next to the subject line.<\/p>\n When I open the sequence, everything looks right inside as well. All the merge tags are filled in as expected.<\/p>\n Since all looks good, I can\u00a0send the first email in the campaign<\/b>\u00a0by clicking the red GMass button in the Gmail compose window. And the follow-ups will go out to people who don\u2019t reply.<\/p>\n Let\u2019s say this email works almost\u00a0too<\/i>\u00a0well \u2014 and four people respond the first day saying they want to join.<\/p>\n You don\u2019t want to grow the league much more than that, so you need to cancel the auto follow-ups to the other people on the list.<\/p>\n The quickest way to cancel your auto follow-ups is to find the draft and cancel from there.<\/p>\n You can\u00a0find it in your Drafts folder Gmail<\/b>.<\/p>\n Open the draft, go into the GMass settings, and click the button to cancel follow-ups.<\/p>\n I saved the biggest fantasy commissioner challenge for the end: Hounding people to pay.<\/p>\n Rather than using auto follow-ups,\u00a0we\u2019re going to use a repeating campaign here to keep nudging people<\/b>\u00a0who haven\u2019t paid their dues.<\/p>\n I\u2019m going to add some columns to my Google Sheet to use in my emails to people when their league fees are late.<\/p>\n My spreadsheet only includes the primary owners of each team. I have columns for email, first name, last name, team name, paid, days overdue, and number of people unpaid. (Yes, each row will have an identical field for how many other people in the league haven\u2019t paid. That will come up in the emails we send later.)<\/p>\n Here\u2019s my Google Sheets formula for the DaysOverdue column. If the PAID column is empty, I use the DATEDIF Google Sheets function to calculate the difference between payment due dates and today. So the formula in the first row is\u00a0 For the TotalPaid column, I\u2019m adding up the non-blanks in the paid column. The formula in every row is\u00a0 The next step is to connect this sheet to GMass. We\u2019re going to use filtering to remove people who\u2019ve paid.<\/p>\n As usual, open a Gmail compose window. Click into the Recipients field, then click the GMass icon.<\/p>\n In the optional settings, we need to filter out everyone who\u2019s paid. So we\u2019ll add the filter\u00a0 Compose your email. I\u2019m going to use mail merge options to add the amount of days people\u2019s payments are overdue \u2014 and how many other people in the league have paid.<\/p>\n Now we\u2019re going to turn this into a\u00a0repeating campaign<\/a>. With a repeating campaign, this email will keep going out to each person with an overdue bill \u2014 with updated days overdue and total people paid \u2014 until they pay.<\/p>\n Open the campaign settings by clicking the arrow next to the GMass button.<\/p>\n Go into the\u00a0Schedule<\/a>\u00a0section. Then check the box next to Repeat. Set the campaign so it repeats every\u00a0 Here\u2019s what that means. Every three days, GMass will look at every row in your Google Sheet. It will take everyone who hasn\u2019t paid (whose PAID column is empty) and send them this email. Because we set up a filter when we connected the sheet,\u00a0GMass will always screen out any people who have paid<\/b>\u00a0(even if they pay after this campaign goes live).<\/p>\n You\u00a0won\u2019t have to do any of this manually<\/b>. Set this up once, and GMass will keep on sending the emails.<\/p>\n The only thing you have to do by hand is mark in your spreadsheet after someone pays. (Though if you want to get extra fancy, you could use Zapier to automate that as well.)<\/p>\n You can test the campaign by hitting the Send Test button in the GMass settings.<\/p>\n And here\u2019s my test email, in all its shaming glory.<\/p>\n Once everything is ready, set the campaign live by hitting the red GMass button. And now,\u00a0the campaign will repeat every three days<\/b>\u00a0until everyone has an \u201cX\u201d in the PAID column of your Google Sheet.<\/p>\n We hope this guide makes your life as a commissioner easier \u2014 and your major fantasy football commissioner emails a whole lot better. At the very least, this guide should\u00a0help make things more automated<\/b>.
