How to Manage Replies<\/h2>\n
If you\u2019re sending a cold email campaign or other outreach campaign \u2014 or even some email marketing campaigns \u2014 you\u2019re looking for replies.<\/p>\n
And\u00a0you need a plan for managing those replies<\/b>\u00a0and making sure you respond to all of them \u2013 especially if you receive the high volume of responses you\u2019re hoping for.<\/p>\n
So we built a tool called The Reply Project which you can use to get through responding to all your replies in a\u00a0fraction<\/em> of the time it normally takes. (You can also use The Reply Project<\/a> to get through all your other emails.)<\/p>\n
Here’s how to manage your replies in GMass.<\/p>\n
Go to the GMass dashboard and click on the number of replies for your campaign…<\/p>\n

<\/a><\/p>\nIn either case, a flyout panel will appear on the right side of the screen showing you your replies. (It also includes\u00a0sentiment analysis<\/strong><\/a> to give you a quick look at whether each response is positive, negative, or neutral.) Near the top of the panel you’ll see a link that says\u00a0Reply to these emails with The Reply Project<\/strong>. Click on that link.<\/p>\n

<\/a><\/p>\nNow GMass will take you into The Reply Project interface. Here you’ll see all the replies to your campaign on one screen.<\/p>\n

You should be able to get through your responses\u00a0extremely\u00a0<\/em>fast with this system. In fact, we’ve found people who send fast replies with The Reply Project<\/a> are doing so 10x faster than those using the regular Gmail interface.<\/p>\n
How to Check (and Share and Analyze) Reports<\/h2>\n
We all\u00a0want<\/i>\u00a0to check out\u00a0campaign reports<\/a>\u00a0to see how the emails are doing. But we also\u00a0need<\/i>\u00a0to check campaign reports to gauge the effectiveness of a campaign \u2014 so we can\u00a0make plans to improve next time around<\/b>.<\/p>\n
There are four different ways you can check GMass campaign reports.<\/p>\n
Email campaign reports<\/h3>\n
The GMass Reports > [CAMPAIGNS]<\/strong> folder in Gmail has campaign reports. These are great to access quickly from Gmail on your desktop or phone.<\/p>\n
These reports hit your Gmail account out several hours after you send your campaign, allowing some time for opens, clicks, and replies.<\/p>\n

<\/a><\/p>\nThe email campaign report also contains links to the real-time web-based report as well as downloadable CSV files for every metric.<\/p>\n
Inside your Google Sheet<\/h3>\n
If you created your campaign in GMass by\u00a0connecting a Google Sheet<\/a>\u00a0and you chose to\u00a0report data back to the Google Sheet<\/a>\u2026<\/p>\n

<\/a><\/p>\nAfter the campaign sends, your Google Sheet will now give you a quick look at data.<\/p>\n

<\/a><\/p>\nThe data\u2019s not as detailed as you\u2019ll get in some of the other GMass reports, but it\u2019s convenient. (We\u2019ve had lots of GMass users tell us\u00a0how much time this saves<\/a>\u00a0\u2014 it eliminates the manual process of updating a spreadsheet with this data.)<\/p>\n
In the GMass dashboard<\/h3>\n
The\u00a0GMass dashboard<\/a>\u00a0is a great place to visually compare results from different campaigns.<\/p>\n

The last type of report we\u2019ll cover is the real-time web-based report<\/strong>. You can access it by clicking the link in the campaign report email or by clicking the blue arrow icon in the dashboard.<\/p>\n
The web-based report gives you a real-time updated look at all campaign analytics. You can also download CSVs of your data from the report.<\/p>\n
And\u00a0the web-based report is completely sharable<\/b>\u00a0\u2014 no password required. Anyone with the link can view the full report.<\/p>\n

So I’ve covered all the ways you can get your report in GMass \u2014 but what are the numbers in that report actually telling you?<\/p>\n
You can get some help decoding your report by using GMass’s Deep Analysis<\/a>. That’s our AI tool that digs deep into a campaign report and answers all the questions you might have.<\/p>\n
Access it by clicking the button on the top of the web-based campaign report.<\/p>\n

<\/a><\/p>\nHow to Edit Your Campaign<\/h2>\n
Want to\u00a0change something about your campaign before its scheduled send time \u2014 or even in the middle of sending it<\/b>?<\/p>\n
You can\u00a0edit<\/a>\u00a0any scheduled campaign, a recurring campaign, and\/or any automated follow-ups to a campaign before they go out.<\/p>\n
And yes, you can even edit a campaign\u00a0while<\/i>\u00a0it\u2019s sending. GMass will detect the change, pause your campaign for a few seconds, then resume sending the new version to the rest of your list.<\/p>\n
Plus, you can see how your campaign performs on each edit by checking the Edit History section of your web-based campaign report<\/a>.<\/p>\n

<\/a><\/p>\nEditing a scheduled campaign or recurring campaign draft<\/h3>\n
One of the advantages of sending campaigns through Gmail is\u00a0your campaigns are in the Drafts folder before they go out<\/b>\u00a0\u2014 just like all your other emails.<\/p>\n
You can edit your campaigns by going into the Drafts folder, finding the email, and making your changes.<\/p>\n
You can change anything, including the\u00a0subject<\/b>, the\u00a0message<\/b>\u00a0itself, and\u00a0any of the campaign settings<\/b>.<\/p>\n
And after you make your changes, you can save them by clicking the green SAVE Changes button in the GMass settings box, or by clicking the red GMass button in the compose window.<\/p>\n

<\/a><\/p>\nHow to Edit Your Automated Follow-Ups<\/h2>\n
You can also\u00a0edit the automated follow-ups<\/a>\u00a0for a campaign \u2014 both plain text auto follow-ups and rich-text messages.<\/p>\n
Even if auto follow-ups have gone out to some recipients already, any changes you make will take effect for all future recipients of those follow-ups. (You can always see all outstanding auto follow-ups with the calendar view<\/a> in the GMass dashboard.)<\/p>\n
Here\u2019s how to edit your follow ups.<\/p>\n
Editing plain text follow-up messages<\/h3>\n
To edit your plain text follow-ups, open the GMass settings box for the campaign and go to the Auto Follow-up section.<\/p>\n
You can\u00a0edit your plain text email in the text box<\/b>. You can also alter the settings (e.g., the trigger for when the email is sent, the time delay in sending, and the time.)<\/p>\n

<\/a><\/p>\nOnce you\u2019ve made your changes, go to the bottom of the settings box and click the green SAVE Changes button.<\/p>\n
Editing rich-text follow-up messages<\/h3>\n
There are a few more steps required to edit a\u00a0rich-text follow-up<\/a>.<\/p>\n
Open the GMass settings box for your campaign and go to the Auto Follow-up section.<\/p>\n
Find the rich-text follow-up message you want to edit and\u00a0click the edit icon<\/b>.<\/p>\n

<\/a><\/p>\nA compose window will pop up with your template. Edit it however you want, then save it by clicking the red GMass button.<\/p>\n

<\/a><\/p>\nNow go back to the campaign settings box. Click the eye icon next to the rich-text email and you\u2019ll see the edited version is now in place.<\/p>\n

<\/a><\/p>\nClick the green SAVE changes button at the bottom of the settings box to lock everything in and you\u2019re set.<\/p>\n
Note: You can also add auto follow-ups to a campaign<\/a> after it’s started (or even finished) sending.<\/p>\n
How to Pause or End Your Campaign<\/h2>\n
There may be a scenario where you need to\u00a0pause a campaign<\/a>\u00a0as it\u2019s sending or pause a recurring campaign before it goes out to anyone new. There also may be situations where you want to\u00a0end and cancel a campaign<\/a>\u00a0entirely.<\/p>\n
How to pause (and resume) a campaign<\/h3>\n
There are two places where you can pause a campaign.<\/p>\n
One is in the GMass settings box. Open the campaign draft in the Gmail Drafts folder, go to the bottom of the GMass settings box, and\u00a0click the yellow Pause Campaign button<\/b>.<\/p>\n
You\u2019ll have the option to pause just the campaign or the campaign and its outstanding auto follow-ups.<\/p>\n

<\/a><\/p>\nYou can then unpause the campaign by going back to the settings and clicking the yellow button which (now) says Resume Campaign.<\/p>\n

<\/a><\/p>\nThe other way to pause your campaign is in the GMass dashboard. Find your campaign in the dashboard and\u00a0click the red pause button<\/b>\u00a0next to the campaign.<\/p>\n
You\u2019ll have the option to pause just the campaign or the campaign and its outstanding auto follow-ups.<\/p>\n

<\/a><\/p>\nThe campaign row will turn yellow, and the pause button will turn into a play button. When you\u2019re ready to re-start the campaign, hit that play button.<\/p>\n

<\/a><\/p>\nRegardless of which method you use, if you pause as the campaign is sending,\u00a0GMass will try to stop it as quickly as possible<\/b>\u00a0\u2014 but up to 50 emails may go out before the campaign stops.<\/p>\n
How to cancel or end a campaign<\/h3>\n
You can\u00a0cancel or end a campaign<\/a>\u00a0using the same methods as pausing.<\/p>\n
The first method is by\u00a0hitting the red Cancel Campaign button in the GMass settings box<\/b>\u00a0of the campaign draft.<\/p>\n
You\u2019ll have the option to cancel the campaign or cancel both the campaign and any outstanding auto follow-ups.<\/p>\n

<\/a><\/p>\nThe second method is to go into the dashboard and\u00a0hit the red X icon<\/b>.<\/p>\n

<\/a><\/p>\nThere\u2019s a third method to end a campaign as well, though it\u2019s a bit less elegant. If you delete the campaign draft<\/b>, that ends the campaign. It will not delete any outstanding auto follow-ups, however.<\/p>\n
And if you delete the draft then change your mind, here\u2019s how you can\u00a0recover the draft of a deleted campaign<\/a>.<\/p>\n
How to Send a New Campaign Based on Recipient Behavior<\/h2>\n
You\u2019ve sent your campaign and possibly responded to some replies. What\u2019s your\u00a0next<\/i>\u00a0campaign?<\/p>\n
With GMass\u2019s\u00a0segmentation features<\/a>\u00a0you can\u00a0send a new campaign to some recipients of a prior campaign based on their behavior<\/b>.<\/p>\n
For example, you could send a new campaign to everyone who opened your email but didn\u2019t reply. Or you could send a new campaign just to people who replied to a previous campaign.<\/p>\n
Setting up a segmented follow-up campaign<\/h3>\n
To start a new segmented campaign, head to Gmail and click on the envelope icon next to the search bar.<\/p>\n

Sending out cold email or email marketing is a major step and accomplishment \u2014 but the campaign process doesn\u2019t end there.<\/p>\n
There are lots of things you can do\u00a0after<\/i>\u00a0you send a campaign that carry their own high level of importance in the process.<\/p>\n
Those include:<\/p>\n

- Managing replies.<\/b>\u00a0Monitoring the responses you get and making sure\u00a0you<\/i> reply to those to keep the conversation going. (And use The Reply Project, which is built into GMass, to make the process 10x faster.)<\/li>\n
- Watching your campaign reports.<\/b>\u00a0Keeping an eye on reports to gauge the effectiveness of your campaign and learn lessons for the future. (Plus you may want to share reports with your team members or clients.)<\/li>\n
- Editing your campaign.<\/b>\u00a0You can tweak your scheduled and recurring campaigns \u2014 or even make changes to a campaign that\u2019s mid-send.<\/li>\n
- Editing your automated follow-ups.<\/b>\u00a0You can edit auto follow-ups to make sure they\u2019re as impactful as you\u2019re intending.<\/li>\n
- Pausing or ending your campaign.<\/b>\u00a0You may need to pause or cancel your campaign \u2014 and then potentially resume it in the future.<\/li>\n
- Sending a new campaign based on behavior.<\/b>\u00a0Send your next campaign to a segment of your recipients based on their behavior with this campaign (for instance, everyone who opened your email but didn\u2019t reply).<\/li>\n<\/ul>\n
And one more thing: If you use dynamic lists<\/a>, it’s easy to remove people from your campaign (or auto follow-ups, segmented campaigns, and more).<\/p>\n
