{"id":22667,"date":"2023-02-09T04:17:40","date_gmt":"2023-02-09T04:17:40","guid":{"rendered":"https:\/\/www.gmass.co\/blog\/?p=22667"},"modified":"2026-02-13T19:23:36","modified_gmt":"2026-02-13T19:23:36","slug":"gmail-api-vs-imap","status":"publish","type":"post","link":"https:\/\/www.gmass.co\/blog\/gmail-api-vs-imap\/","title":{"rendered":"Gmail API vs IMAP Cold Email Platforms: Which Is Better for You?"},"content":{"rendered":"<p>Virtually all cold email platforms send your messages through your email service provider (Gmail, Outlook, and the rest) \u2014 but <em>how<\/em> they send comes down to the Gmail API vs IMAP, the Office 365 API vs IMAP, and so forth.<\/p>\n<p>IMAP (Internet Message Access Protocol) <strong>connects to your mail server with the login credentials<\/strong>\u00a0you provide. It uses various commands to interact with the mail platform and to send your messages by routing them through your platform\u2019s servers.<\/p>\n<p>An API (in the case we\u2019ll discuss here, the <a href=\"https:\/\/www.gmass.co\/blog\/category\/gmail-api\/\">Gmail API<\/a>) has a <strong>deep, programmatic integration with your email client<\/strong>. A cold email platform connects to the Gmail API using OAuth authentication (that\u2019s the permission screen you\u2019re used to), which then allows the platform to send emails through your Gmail account.<\/p>\n<p>The <strong>API is a more direct way<\/strong>\u00a0for an email platform to work with Gmail \u2014 <strong>but IMAP has its advantages as well<\/strong>.<\/p>\n<p>In this article, we\u2019ll cover the advantages and disadvantages of these two methods cold email platforms use to send your emails. Platforms like Instantly and Reply.io use IMAP exclusively; others like <a href=\"https:\/\/www.gmass.co\/blog\/campaign-creation-lemlist-mailshake\/\">Lemlist<\/a>, <a href=\"https:\/\/www.gmass.co\/blog\/campaign-creation-lemlist-mailshake\/\">Mailshake<\/a>, <a href=\"https:\/\/www.gmass.co\/blog\/woodpecker-email\/\">Woodpecker<\/a>, <a href=\"https:\/\/www.gmass.co\/blog\/saleshandy-review\/\">Saleshandy<\/a>, and Quickmail use IMAP for some platforms and APIs for others.<\/p>\n<h3 id=\"advantages-of-imap-b-xkmg\">Advantages of IMAP-based platforms<\/h3>\n<p>Here are the biggest pros of an IMAP-based platform.<\/p>\n<h4 id=\"they-can-work-with-a-oaax\">They can work with any email provider<\/h4>\n<p>Platforms that send via IMAP\/SMTP can <strong>send through any email provider<\/strong>; you just provide your credentials and they can send the email. Some cold emailers have a preference for a provider (like Zoho, for instance) and with IMAP, they can use that provider or a mix of providers on one platform. Here are the instructions, for instance, for <a href=\"https:\/\/support.google.com\/mail\/answer\/7126229?hl=en\">Gmail<\/a>, <a href=\"https:\/\/support.microsoft.com\/en-us\/topic\/d088b986-291d-42b8-9564-9c414e2aa040\">Outlook<\/a>, and <a href=\"https:\/\/www.zoho.com\/mail\/help\/imap-access.html\">Zoho<\/a>.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/02\/imap-outlooksettings-tinified.png\" data-rel=\"lightbox-image-0\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/02\/imap-outlooksettings-tinified.png\" alt=\"IMAP settings for an Outlook account\" width=\"1518\" height=\"1328\" \/><\/a><\/figure>\n<h4 id=\"less-beholden-to-goo-ycps\">Less beholden to Google\/Microsoft<\/h4>\n<p>One big reason the topic of the Gmail API vs IMAP is coming up lately is because of <a href=\"https:\/\/www.gmass.co\/blog\/warmup-shutting-down\/\">Google\u2019s recent crackdown on email warmup services<\/a>. (At GMass, we shuttered our warmup program after <strong>getting an ultimatum<\/strong>\u00a0from Google: Shut down warmup or lose Gmail API access.)<\/p>\n<p>IMAP-based senders, who are more platform agnostic, are less (though not completely) susceptible to those types of ultimatums. However, as we\u2019ve said before, Google isn\u2019t dumb \u2014 so we predict that IMAP-based systems won\u2019t get an indefinite pass.<\/p>\n<h3 id=\"disadvantages-of-ima-fufh\">Disadvantages of IMAP-based platforms<\/h3>\n<p>Here are some of the biggest cons of IMAP-based platforms.<\/p>\n<h4 id=\"setup-is-more-diffic-jtvk\">Setup is more difficult and requires dropping some security protections<\/h4>\n<p>In order to connect your account to a cold email platform via IMAP it <strong>requires a series of steps<\/strong>\u00a0(versus the one-click OAuth process for an API).<\/p>\n<p>With an IMAP connection, you have to provide your username and password or create an app-specific password. Then you have to input that password into the platform. From there, you have to take the non-ideal step of <strong>allowing for &#8220;less secure apps&#8221; in your security settings<\/strong>.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/02\/imap-lesssecure-tinified.png\" data-rel=\"lightbox-image-1\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/02\/imap-lesssecure-tinified.png\" alt=\"You have to allow less secure apps\" width=\"1318\" height=\"740\" \/><\/a><\/figure>\n<p>There\u2019s <strong>a lot more here that can go awry<\/strong>. It\u2019s also <strong>far more complicated<\/strong>\u00a0for less technically-inclined users. (In some cases, users may even need to set up their own <a href=\"https:\/\/www.gmass.co\/blog\/spam-filter\/\">DKIM, SPF, and DMARC records<\/a>; that comes up a <em>lot<\/em>\u00a0less frequently with Google Workspace accounts.)<\/p>\n<h4 id=\"more-iffy-security-xoou\">More iffy security<\/h4>\n<p>IMAP requires allowing \u201cless secure apps\u201d in your account, but that\u2019s not the only security issue.<\/p>\n<p>Any platform with Gmail API access <a href=\"https:\/\/www.gmass.co\/blog\/google-oauth-verification-security-assessment\/\">had to pass a Gmail security audit (and those aren\u2019t cheap, by the way)<\/a>\u00a0so you can be more confident in who you\u2019re letting into your email account.<\/p>\n<p>There\u2019s <strong>no equivalent auditing on IMAP-based platforms<\/strong>.<\/p>\n<h4 id=\"slower-performance-dnuz\">Slower performance<\/h4>\n<p>There\u2019s <strong>quite a bit of back-and-forth<\/strong>\u00a0between an email platform and an email client\u2019s server to send a message via IMAP. (And to do pretty much everything else, too.) The<strong>\u00a0process is slower and less efficient, which can affect the platform\u2019s performance<\/strong>.<\/p>\n<h4 id=\"sending-from-aliases-oxvg\">Sending from aliases makes you destined for the spam folder<\/h4>\n<p>IMAP-based platforms won\u2019t be able to easily access or utilize some of the features at your email provider.<\/p>\n<p>For example, if you send from aliases in your Gmail account (as many cold emailers do), that could be an issue. When an IMAP-based client sends via an alias, it\u2019s more or less <strong>\u201cspoofing\u201d your address<\/strong>\u00a0by changing it in the email\u2019s From field.<\/p>\n<p>Your email isn\u2019t authenticated from that address, meaning you can fail DKIM checks \u2014 and <strong id=\"gmail-api-based-cold-twvw\">head straight to the spam folder<\/strong>. (The team at Mixmax <a href=\"https:\/\/www.mixmax.com\/engineering\/moving-to-the-gmail-api\">cited this<\/a> as one of the main reasons they switched from IMAP to the Gmail API.)<\/p>\n<p>When a platform uses an API, the alias is authenticated and passes all the authentication checkpoints.<\/p>\n<h2>Gmail API-based Cold Email Platforms: Pros and Cons<\/h2>\n<p>Here at GMass, we send emails via the Gmail API. Other cold email platforms using the API method for sending include <a href=\"https:\/\/www.gmass.co\/blog\/yamm-alternatives\/\">YAMM<\/a>, <a href=\"https:\/\/www.gmass.co\/blog\/mixmax-alternative\/\">Mixmax<\/a>, and Mailmeteor.<\/p>\n<p>These are the biggest pros and cons of the API sending method.<\/p>\n<h3 id=\"advantages-of-api-ba-zdac\">Advantages of API-based platforms<\/h3>\n<p>Here are the pros of a cold email platform that uses the Gmail API.<\/p>\n<h4 id=\"setup-takes-maybe-10-uojf\">Setup takes maybe 10 seconds<\/h4>\n<p>When a platform uses the Gmail API, they take on all the complicated stuff and make it easier for you. <strong>Connecting your Gmail account to the platform takes two clicks and you\u2019re all set<\/strong>.<\/p>\n<p>There\u2019s little room for anything to go wrong or any need to troubleshoot. There are way fewer steps than connecting via IMAP. <a href=\"https:\/\/www.gmass.co\/quickstart-guide\">It\u2019s just easier<\/a>.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/02\/imap-permissions-tinified.png\" data-rel=\"lightbox-image-2\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/02\/imap-permissions-tinified.png\" alt=\"Simple permissions with the API\" width=\"1600\" height=\"1102\" \/><\/a><\/figure>\n<h4 id=\"more-functionality-a-hrqn\">More functionality and interaction with the platform<\/h4>\n<p><strong>A cold email platform using the Gmail API can do pretty much anything that Gmail can do<\/strong>. That\u2019s not the case for IMAP.<\/p>\n<p>For example, a platform using the Gmail API can set labels on messages \u2014 a helpful visual indicator and helpful for organization. At GMass, we take full advantage of this. <a href=\"https:\/\/www.gmass.co\/blog\/gmail-labels-that-gmass-uses\/\">We label emails<\/a>\u00a0that are scheduled, have auto follow-ups, are replies, and more.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/02\/imap-labels-tinified.png\" data-rel=\"lightbox-image-3\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/02\/imap-labels-tinified.png\" alt=\"Using labels is possible with Gmail API vs IMAP\" width=\"1600\" height=\"1320\" \/><\/a><\/figure>\n<p>Another example: By using the API we can pull files from Google Drive for <a href=\"https:\/\/www.gmass.co\/blog\/mass-email-with-personalized-attachments\/\">easier file attachments via mail merge<\/a>.<\/p>\n<h4 id=\"better-security-bfof\">Better security<\/h4>\n<p>As we noted earlier in the IMAP section, <strong>platforms that use the API are generally easier to trust<\/strong>. That\u2019s because they&#8217;ve had to undergo a Google security audit, which is <em>not<\/em>\u00a0easy to pass.<\/p>\n<p>When you grant a cold email platform access to your email, either via IMAP or API, you\u2019re putting a lot of trust into that platform. It\u2019s nice to know Google has vouched for them.<\/p>\n<h3 id=\"disadvantages-of-api-frbm\">Disadvantages of API-based platforms<\/h3>\n<p>We\u2019ve got one main con here, but it\u2019s a big one.<\/p>\n<h4 id=\"only-works-with-one-wpfs\">Only works with one platform<\/h4>\n<p>If an email platform sends via the Gmail API, that means you have to use it on Google. So <strong>if you want to use other platforms<\/strong>, you can\u2019t.<\/p>\n<p><em id=\"gmail-api-vs-imap-ta-dcfh\">That\u2019s<\/em>\u00a0the tradeoff for all the other advantages of connecting via the API versus IMAP.<\/p>\n<h2>Gmail API vs IMAP: Takeaways and Next Steps<\/h2>\n<p>Cold email platforms generally connect to your email client to send emails (as opposed to most email marketing platforms, which send through their own servers).<\/p>\n<p>And there are two main ways a platform can connect to an email service: Via IMAP, or via that service\u2019s API.<\/p>\n<p>The advantages of IMAP are:<\/p>\n<ul>\n<li>The platforms can work with any email provider<\/li>\n<li>They\u2019re less beholden to the tech giants<\/li>\n<\/ul>\n<p>And the disadvantages are:<\/p>\n<ul>\n<li>More difficult setup<\/li>\n<li>Iffy security<\/li>\n<li>Slower performance<\/li>\n<li>Difficulty utilizing some email provider features<\/li>\n<\/ul>\n<p>The advantages of using an API like the Gmail API are:<\/p>\n<ul>\n<li>Fast, non-technical setup<\/li>\n<li>More functionality and interaction with the platform<\/li>\n<li>Better security<\/li>\n<\/ul>\n<p>And the disadvantage is:<\/p>\n<ul>\n<li>Only works on one platform<\/li>\n<\/ul>\n<p>At GMass, <strong>we decided from day one to go with the Gmail API to keep things easy, efficient, and feature-rich<\/strong>.<\/p>\n<p>Our goal has always been to make GMass feel like a natural part of the familiar Gmail experience.
