To the right of each email is a <strong>box where you can type your reply<\/strong>.<\/p>\n<p>If you have a Gmail signature set, the box will be pre-filled with your signature. (That is: Whichever one received the email.)<\/p>\n<p>By default, The Reply Project will just reply to the sender. There\u2019s an <strong>Archive<\/strong> and <strong>Delete <\/strong>button by each email. And there are the <strong>ChatGPT<\/strong>\u00a0and <strong id=\"the-basics-the-diffe-kvsd\">Email template<\/strong>\u00a0icons in the reply window.<\/p>\n<p>I\u2019ll cover those in detail throughout the rest of this guide.<\/p>\n<p>But for now\u2026 you\u2019re all set to get rolling with The Reply Project!<\/p>\n<h2>The Basics: The Different Ways The Reply Project Displays Your Emails<\/h2>\n<p>The Reply Project displays everything in your inbox (or that came up as a result of your search). And it <strong>displays emails in four different \u201cstates,\u201d<\/strong>\u00a0depending on whether they need a reply, you sent them with the tool, you archived them with the tool, or they don\u2019t need a reply.<\/p>\n<h3 id=\"1-an-email-that-need-oynd\">1. An email that needs a reply<\/h3>\n<p>If there\u2019s an email in need of a reply, it looks \u201cnormal\u201d in The Reply Project. You\u2019ll see its subject line, who it\u2019s to and who it\u2019s from, the date it was sent, and the entire thread history. An email you archived via The Reply Project<\/h3>\n<p>When you click the <strong>Archive<\/strong>\u00a0button on an email, The Reply Project minimizes that email on the screen.<\/p>\n<p>The email will also be archived when you go back to Gmail. Like any email you archive in Gmail, you\u2019ll still be able to find it with search or in the <strong>All Mail<\/strong>\u00a0view. An email where you sent the most recent message in the thread, but didn\u2019t send it through The Reply Project<\/h3>\n<p>The Reply Project is bringing in all the messages from your inbox or your email search. And that means there will probably be some cases where <em>you<\/em>\u00a0were the last person in the thread to send a response \u2014 and you didn\u2019t send that email through The Reply Project.<\/p>\n<p>In those cases, The Reply Project puts a <strong>red outline around the subject line to warn you that the thread is not waiting on you<\/strong>\u00a0and probably doesn\u2019t need another reply from you right now.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/replyproject-state4-lastreply-tinified.png\" data-rel=\"lightbox-image-12\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" id=\"tools-for-even-faste-axol\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/replyproject-state4-lastreply-tinified.png\" alt=\"An email that already got a reply elsewhere\" width=\"1600\" height=\"665\" \/><\/a><\/figure>\n<h2>Tools for Even Faster Replies: ChatGPT and Templates<\/h2>\n<p>The Reply Project is focused on reply speed \u2014 and sometimes, that means typing email responses is going to slow you down.<\/p>\n<p>We\u2019ve built in <strong>two options for even <\/strong><em><strong>faster<\/strong><\/em><strong id=\"using-chatgpt-in-the-gbqt\">\u00a0replies<\/strong>\u00a0in the tool. You can get an <strong>assist from ChatGPT<\/strong>\u00a0or <strong>use your own templates<\/strong>\u00a0to <em>really<\/em>\u00a0knock out your responses faster.<\/p>\n<h3>Using ChatGPT in The Reply Project<\/h3>\n<p>ChatGPT can write responses for you in The Reply Project (and you don\u2019t need your own ChatGPT credentials to log in \u2014 we\u2019ve got it covered.)<\/p>\n<p>To let AI take a pass at your response for you, <strong>click the ChatGPT icon<\/strong> in the reply box. You can tweak it, edit it, delete it to try again, or send as-is.<\/p>\n<h3>Using your own templates<\/h3>\n<p>You can create templates to use and re-use in The Reply Project.<\/p>\n<h4 id=\"creating-a-template-shws\">Creating a template<\/h4>\n<p>To create a template, click on the button with the email icon or hit <strong>Control + M<\/strong> on Windows or <strong>Command + M<\/strong> on Mac, then click <strong>Create a new template<\/strong>.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/replyproject-createtemplate-tinified.png\" data-rel=\"lightbox-image-15\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/replyproject-createtemplate-tinified.png\" alt=\"Creating a reusable template\" width=\"1600\" height=\"659\" \/><\/a><\/figure>\n<p>That will bring up a window where you give your template a name and then type it out.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/replytemplate-typein-tinified.png\" data-rel=\"lightbox-image-16\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/replytemplate-typein-tinified.png\" alt=\"Type in your template\" width=\"1600\" height=\"784\" \/><\/a><\/figure>\n<p>Once you\u2019re done, click the <strong>Save this template<\/strong>\u00a0button.<\/p>\n<h4 id=\"using-your-templates-aqmm\">Using your templates<\/h4>\n<p>Once you have a template or templates available, click that same icon (or use Control\/Command + M) in the reply box to see them in a list.<\/p>\n<p>If you <strong>click on the name of the template, it will fill the box with your template<\/strong>. It will also <strong>replace<\/strong>\u00a0anything that\u2019s in the box (if you\u2019ve typed anything before clicking the button).<\/p>\n<p>If you hover over the name of the template, you\u2019ll see two icons. The <strong>pen<\/strong>\u00a0icon is to insert the template at the cursor. When you do that, it will <strong>not<\/strong>\u00a0overwrite anything in the box, it will just <strong>insert your template in the spot<\/strong>\u00a0you\u2019ve chosen. So if you could run the search back in Gmail, you can run it here.
