Email Productivity Tools You&#8217;ve Never Heard Of"},"content":{"rendered":"<p>Despite two decades of people saying email is dead, it\u2019s still <em>so<\/em>\u00a0alive and popular that\u00a0we need email productivity tools to help wrangle it.<\/p>\n<p>Over here at GMass, we\u2019ve had <strong>email productivity tools<\/strong>\u00a0on our minds for months now as we\u2019ve been developing one of our own. And we just launched <strong>The Reply Project<\/strong>, which I\u2019ll cover below.<\/p>\n<p>(Don\u2019t worry, I didn\u2019t do that thing that makes you roll your eyes where a company puts their own product as the number one item on a list. No\u2026 I made it number 0, not even a <em>part<\/em>\u00a0of the list! So much more demure and classy.)<\/p>\n<p>I went on a hunt for <strong>email productivity apps and tools<\/strong>\u00a0that maybe you haven\u2019t heard of before \u2014 but ones that could stop email from being such an 800-pound gorilla in your daily routine.<\/p>\n<p>I <strong>personally tested every one of the tools on this list<\/strong>\u00a0to <strong>make sure it works<\/strong>\u00a0and it <strong>actually <\/strong><em><strong>does<\/strong><\/em><strong>\u00a0increase productivity and efficiency<\/strong>. I also tested a bunch of tools I\u2019ve decided not to include because, well, they didn\u2019t quite measure up.<\/p>\n<p>Here are the best productivity tools for <strong>sending emails<\/strong>, <strong>getting through your inbox<\/strong>, <strong>managing your accounts<\/strong>, and more.<\/p>\n<p>And I only picked ones that were <strong>free<\/strong>.<\/p>\n<h2 id=\"the-best-email-produ-wzen\">The Best Email Productivity Tools: Table of Contents<\/h2>\n<ul>\n<li><a href=\"#0-the-reply-project-exxn\">0. Do I think it\u2019s fantastic? Absolutely. That\u2019s a full extra month of time.<\/p>\n<p>Employee of the Month award, here I come. I would like a plaque and a ham.<\/p>\n<h2>1. If you\u2019re a cold emailer, you know where I\u2019m coming from. (Though mine aren\u2019t really from cold email, I\u2019m mostly an email address hoarder.)<\/p>\n<p>I\u2019ve tried a ton of different <strong>unified inbox solutions<\/strong>\u00a0over the years.<\/p>\n<p>Edison is the nicest one I\u2019ve tried (Mailspring is a close second). Edison has a modern, clean interface that shows me a unified inbox or quickly lets me jump into individual accounts. It also has all the bells and whistles you expect from a standalone email client.<\/p>\n<p>I do miss the ability to use other Gmail plugins, though \u2014 for instance, I still have to go to the browser to send my GMass campaigns. Or use most of the other tools on this list.<\/p>\n<p>Still, there are times every day when <strong id=\"2-word-counter-for-m-cvwe\">I want a unified inbox instead of checking lots of accounts individually<\/strong>. And in those situations, Edison is my go-to option.<\/p>\n<h2>2. Word Counter for making sure emails and subject lines are the right lengths<\/h2>\n<p><em><strong>Chrome extension, <\/strong><\/em><em><strong><a href=\"https:\/\/chrome.google.com\/webstore\/detail\/word-counter\/jggclakocbglccfomoklndaiihjmlejk\/\">FREE<\/a><\/strong><\/em><\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivitytools-wordcounter-tinified.png\" data-rel=\"lightbox-image-2\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivitytools-wordcounter-tinified.png\" alt=\"Word Counter for email length\" width=\"1600\" height=\"933\" \/><\/a><\/figure>\n<p>A short cold email is an effective cold email. Actually, a short any kind of email is an effective any kind of email.<\/p>\n<p>I like Word Counter because it\u2019s a <strong>seriously no-frills way<\/strong>\u00a0to make sure I\u2019m <strong>keeping my messages right around the 150 words sweet spot<\/strong>.<\/p>\n<p>It\u2019s a free Chrome extension that I use to keep my verbose nature in check. I\u2019ve seen other, fancier word counters out there\u2026 but this is a situation where minimalist is best.<\/p>\n<p>(Plus\u2026 it\u2019s also useful if you\u2019re trying to keep <strong id=\"3-magical-for-email-vnqq\">character counts under a certain length on your email subject lines<\/strong>.)<\/p>\n<h2>3. Magical for email-related data entry<\/h2>\n<p><em><strong>Chrome extension, <\/strong><\/em><em><strong><a href=\"https:\/\/chrome.google.com\/webstore\/detail\/magical-chatgpt-ai-writer\/iibninhmiggehlcdolcilmhacighjamp\">FREE<\/a><\/strong><\/em><\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-magical-tinified.png\" data-rel=\"lightbox-image-3\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-magical-tinified.png\" alt=\"Magical for automated data entry\" width=\"1600\" height=\"1115\" \/><\/a><\/figure>\n<p>Magical has several different functions related to email (with its text expander and AI, it can do a lot of email writing for you).<\/p>\n<p>But the area I\u2019ve found it <strong>most helpful for my email productivity is on data entry<\/strong>.<\/p>\n<p>Odds are there\u2019s <em>some<\/em>\u00a0data entry-related task you do with email. Whether it\u2019s copying info from LinkedIn profiles into a Google Sheet to use in your GMass campaigns\u2026 copying responses to your emails to paste into a database\u2026 copying email addresses from one list to another\u2026 or anything else \u2014 you\u2019re doing a lot of Control-C, Control-V, repeat.<\/p>\n<p>Magical can <strong>save you significant time by automating the copying process for you<\/strong>.<\/p>\n<p>For me\u2026 every day I go through one of my email accounts to copy emailed comments I get into a Google Sheet. I copy the person\u2019s name, email address, response date, deep link to their email, and their message. I trained Magical to recognize those different fields and <strong id=\"4-boomerang-for-emai-awad\">do all the copying for me<\/strong>. I\u2019m saving close to one minute per copied email, which usually means 10+ minutes per day.<\/p>\n<h2>4. Boomerang for email pausing<\/h2>\n<p><em><strong>Chrome extension, <\/strong><\/em><em><strong><a href=\"https:\/\/chrome.google.com\/webstore\/detail\/boomerang-for-gmail\/mdanidgdpmkimeiiojknlnekblgmpdll\">FREE<\/a><\/strong><\/em><\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-boomerangpause-tinified.png\" data-rel=\"lightbox-image-4\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-boomerangpause-tinified.png\" alt=\"Boomerang to pause inbox\" width=\"1600\" height=\"888\" \/><\/a><\/figure>\n<p>I know this is a list of email productivity tools you haven\u2019t heard of, and you\u2019ve probably heard of Boomerang. But I\u2019m only focusing on one of its free features here (I don\u2019t use the rest) \u2014 which is <strong>pausing your inbox<\/strong>.<\/p>\n<p>Sometimes the best productivity move for email is\u2026 to <strong>not have email constantly pouring in<\/strong>\u00a0to distract you.<\/p>\n<p>Boomerang adds a nice, big <strong>Pause Inbox<\/strong>\u00a0button to the Gmail interface. And that feature is included in the free plan.<\/p>\n<p>This feature could also <strong id=\"5-rename-email-subje-jngc\">pair well with The Reply Project<\/strong>. Pause your email until you\u2019re ready to open the flood gates. Then unpause, head to The Reply Project, and respond to all your new emails within minutes. Email can go from a constant nag in your day to something you handle in two quick bursts.<\/p>\n<h2>5. Rename Email Subject for organization<\/h2>\n<p><em><strong>Chrome extension, <\/strong><\/em><em><strong><a href=\"https:\/\/chrome.google.com\/webstore\/detail\/rename-email-subject-by-c\/miepnlkmnjdfcnkplikgackpobfmaifb?hl=en\">FREE<\/a><\/strong><\/em><\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-renamesubject-tinified.png\" data-rel=\"lightbox-image-5\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-renamesubject-tinified.png\" alt=\"Rename subject lines for organization\" width=\"1600\" height=\"870\" \/><\/a><\/figure>\n<p>I get a lot of emails with subject lines that are\u2026 less than descriptive.<\/p>\n<p>That can make it <strong>tough for me to do a quick visual scan of my emails to find the one I\u2019m looking for<\/strong>\u00a0at any given moment.<\/p>\n<p>Rename Email Subject is an extension that lets you <strong>rename an email subject locally<\/strong>\u00a0\u2014 the other people in the email thread won\u2019t know you\u2019ve made the change unless you reply back with the new subject line \u2014 so <strong id=\"6-for-gmail-keyboard-ztid\">you can make ambiguous subject lines more descriptive<\/strong>.<\/p>\n<p>It\u2019s a good one-trick extension that saves you a minor, but always annoying, email productivity headache.<\/p>\n<h2>6. ? for Gmail keyboard shortcuts<\/h2>\n<p><em><strong>Keyboard shortcut<\/strong><\/em><\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-questionmarkshortcuts-tinified.png\" data-rel=\"lightbox-image-6\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-questionmarkshortcuts-tinified.png\" alt=\"Hit ? for shortcuts in Gmail\" width=\"1600\" height=\"1095\" \/><\/a><\/figure>\n<p>This tool is a keyboard shortcut in Gmail. A keyboard shortcut that helps you with keyboard shortcuts. It\u2019s email productivity inception.<\/p>\n<p>But until I was researching this list, I had no idea that <strong>if you press the ? in Gmail (or, technically, the shift key and the question mark key), you can see all available keyboard shortcuts<\/strong>.<\/p>\n<p>And as all good productivity folks know, you\u2019re not at the master level of productivity until you\u2019re operating with as many keyboard shortcuts as possible \u2014 virtually mouse-free.<\/p>\n<p>You can use the ? in Gmail to <strong id=\"7-checker-plus-if-yo-adml\">see the shortcuts available until you learn them<\/strong>\u00a0and begin using them without the cheat sheet.<\/p>\n<h2>7. Checker Plus if you want to see emails as they come<\/h2>\n<p><em><strong>Chrome extension, <\/strong><\/em><em><strong><a href=\"https:\/\/chrome.google.com\/webstore\/detail\/checker-plus-for-gmail\/oeopbcgkkoapgobdbedcemjljbihmemj\/\">FREE<\/a><\/strong><\/em><\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-checkerplus-tinified.png\" data-rel=\"lightbox-image-7\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-checkerplus-tinified.png\" alt=\"Checker Plus to see all messages\" width=\"1600\" height=\"959\" \/><\/a><\/figure>\n<p>On this list I\u2019ve focused heavily on apps that reduce email\u2019s portion of your daily mind share.<\/p>\n<p>But maybe that\u2019s not ideal for <em>your<\/em>\u00a0productivity workflow.<\/p>\n<p>Maybe you need to stop flipping over to your Gmail tab 25 times an hour to see if new emails came in. Maybe it\u2019s helpful for you to know when you\u2019ve received emails \u2014 and, in some cases, to be able to address them on the spot. Or to be able to send a quick email regardless of what you\u2019re working on.<\/p>\n<p>Checker Plus for Gmail sits to the right of the Chrome bar and checks one or more of your email accounts at a regular interval (the default is 30 seconds).<\/p>\n<p>When <strong>a new email comes in, it alerts you<\/strong>. Then you can click the extension\u2019s icon to view your unread messages. You can respond, compose brand new messages, delete, archive, mark as spam, or open that email in Gmail itself.<\/p>\n<p>The <strong>extension is <\/strong><em><strong>highly<\/strong><\/em><strong>\u00a0configurable<\/strong>\u00a0\u2014 you can fine tune exactly what types of messages Checker Plus will find, how it will alert you about those messages, and dozens of other subtle nuances as well. Seriously. It\u2019s one of the most customizable tools I\u2019ve ever come across.<\/p>\n<p>If you\u2019re trying to reduce your \u201cnew email\u201d dopamine flow, it\u2019s probably not a great tool for you. But <strong id=\"8-ifttt-for-lite-aut-iqbf\">if your version of productivity includes email triage on receipt<\/strong>\u00a0\u2014 or you\u2019re addicted to checking and rechecking your Gmail tab \u2014 it could be a big asset.<\/p>\n<h2>8. IFTTT for lite automations between Gmail and other apps<\/h2>\n<p><em><strong>Automation service, <\/strong><\/em><em><strong><a href=\"https:\/\/ifttt.com\/gmail\">FREE<\/a><\/strong><\/em><em><strong>\u00a0(with paid options)<\/strong><\/em><\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-ifttt-tinified.png\" data-rel=\"lightbox-image-8\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-ifttt-tinified.png\" alt=\"IFTTT for quick Gmail automations\" width=\"1600\" height=\"1016\" \/><\/a><\/figure>\n<p>IFTTT (which is a shorthand for If This, Then That) is one of the big players in the no-code automation world. Zapier allows for much more complex automations \u2014 we have a <a href=\"https:\/\/www.gmass.co\/blog\/guide-to-zapier-integration\/\">robust Zapier integration with GMass<\/a>\u00a0and you could certainly use it for what I\u2019m about to describe.<\/p>\n<p>But for <strong>quick and dirty email automations<\/strong>\u00a0(which can run unlimited times for free), IFTTT is a good bet.<\/p>\n<p>Above is a screenshot with some of their premade Gmail \u201crecipies.\u201d Basically, if you want info fed into Gmail from other apps or fed out of Gmail to other apps, IFTTT can probably do it.<\/p>\n<p>I have a few IFTTT automations set up to save me time, including emails I get automatically for Tweets, Google Sheets changes, and press mentions.<\/p>\n<p>It also has <strong id=\"9-gmail-templates-fo-tmmi\">useful email digest functions<\/strong>, like getting a roundup of industry news from a selection of RSS feeds every day or week.<\/p>\n<h2>9. Gmail templates for Google Workspace accounts<\/h2>\n<p><em><strong>Email templates, <\/strong><\/em><em><strong><a href=\"https:\/\/support.google.com\/google-workspace-individual\/answer\/10960345?hl=en\">FREE<\/a><\/strong><\/em><em><strong>\u00a0for most Google Workspace accounts<\/strong><\/em><\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-templates-tinified.png\" data-rel=\"lightbox-image-9\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/emailproductivity-templates-tinified.png\" alt=\"Google offers email layout templates\" width=\"1600\" height=\"979\" \/><\/a><\/figure>\n<p>Did you know\u2026 <strong>Gmail has email layout templates built in<\/strong>\u00a0and offers them to most Google Workspace accounts?<\/p>\n<p>If you haven\u2019t heard of that, it\u2019s no surprise.
