Sending a mail merge in Gmail<\/a> from a list of email addresses is very simple with GMass<\/strong>.<\/p>\n

That list can be copied from many different applications and Gmail<\/strong> will automatically parse it into separate email addresses. For example, the list could be from a text file<\/strong>, an Excel<\/strong> spreadsheet<\/strong>, a CRM system<\/strong>, or any other text.<\/p>\n

Even better, if the email addresses are also part of your Gmail Contacts<\/strong>, you can easily personalize those recipients\u2019 emails.<\/p>\n

Here\u2019s how to quickly send a mail merge using copy and paste:<\/strong><\/h3>\n

  1. Start with a list of email addresses.<\/strong> Again, the application where the list is saved can be anything as long as you can copy from it and into the clipboard as text. This would include such options as Notepad<\/strong>, Word, Excel<\/strong>, or a CRM, such as Salesforce<\/strong>. The email addresses in the list can be separated by, for example, commas, spaces, lines, tabs, or cells.<\/strong><\/li>\n
  2. Next, copy the text.<\/strong> You can select the text as you normally would in a word processing program and copy it using either the menu, or Ctrl-C for copy<\/strong>. You\u2019ll find that you don\u2019t have to bother to exactly end your selection area where your list ends\u2014it\u2019s fine to just highlight any area that includes only the list.\n

    Once you\u2019ve copied it, that text is held in the clipboard, ready to be pasted somewhere.<\/li>\n

  3. Paste the text containing the email addresses into the \u201cTo\u201d field<\/strong> in a Gmail<\/strong> compose window<\/strong>. Either right-click in the \u201cTo<\/strong>\u201d field and select Paste:<\/strong><\/strong><\/strong>\n

    Or, you can use Ctrl-V<\/strong> to paste in the email addresses.<\/li>\n

  4. You will immediately see that Gmail<\/strong> has parsed your list, recognized them as email addresses, and then populated the To<\/strong>\u00a0field with them.\n

  5. You\u2019re now ready to write your message<\/strong> . Write it as you normally would compose an email in Gmail\u00a0(see the “Bonus” below for how to personalize emails that are in your Gmail Contacts!)<\/strong>.\n

  6. When you\u2019re ready to send, click the<\/strong> GMass<\/span> button to send<\/strong>, and an individual email will be sent to each recipient in the list.\n

    Bonus: Personalizing emails that are in your Gmail Contacts. <\/strong><\/h3>\n

    For email addresses that are in your Gmail Contacts<\/strong>, there is an easy option to personalize them.<\/p>\n

    In the Gmail<\/strong> compose window\u2019s<\/strong> message body area<\/strong>, when addressing the recipient, you can use GMass<\/strong>\u2019s curly braces syntax. You can do this either by directly typing it in, like this:<\/p>\n

    Or you can use the handy GMass Settings window.<\/strong> To do that, click the red upward pointing arrow

    \n<\/strong>to pop up the GMass<\/strong> Settings window<\/strong>. In the green area of this window, find the dropdown to the right of \u201cPersonalize:<\/strong>\u201d<\/p>\n

    and select either the recipient\u2019s first name (as shown above), last name, or email address. For example, selecting the first name option results in GMass<\/strong> automatically pasting this into the compose window: {FirstName|Friend}.<\/p>\n

    You can then use this in a salutation, something like:<\/p>\n

    The way GMass<\/strong> will interpret this line is as follows: if the email being processed is<\/em> in your Gmail Contacts<\/strong>, it will substitute the recipient\u2019s first name (producing, for example, \u201cDear Robert,\u201d).
