Best regards is versatile<\/h3>\n<p><strong>Best regards does not ascribe a level of formality, familiarity, urgency, or expectation to a message<\/strong>\u00a0\u2014 instead, <strong>it adapts<\/strong>\u00a0to whatever tonal baseline you\u2019ve established throughout the message.<\/p>\n<p>If you\u2019re sending in a formal cover letter to apply for a job, \u201cbest regards\u201d makes sense as your sign-off.<\/p>\n<p>Then, if you\u2019re casually corresponding back and forth with a hiring manager for that job a few weeks later, \u201cbest regards\u201d also makes sense as your sign-off.<\/p>\n<p>Few other sign-offs, if any, can boast that versatility.<\/p>\n<p>Like\u2026<\/p>\n<ul>\n<li>\u201cSincerely\u201d brings a certain amount of stilted formality to the proceedings.<\/li>\n<li>\u201cThanks in advance\u201d is presumptuous and has much narrower applications.<\/li>\n<li>\u201cWarmest regards\u201d has no place in a professional email to a new contact.<\/li>\n<\/ul>\n<p><strong>The chameleon nature of \u201cbest regards\u201d makes it an easy go-to<\/strong>\u00a0\u2014 so you don\u2019t have to agonize over what sign-off you\u2019re going to use.<\/p>\n<h3 id=\"2-it-s-benign-in-a-g-wapj\">2. It\u2019s benign, in a good way<\/h3>\n<p>As much as we devote our brainpower to picking the perfect sign-off, unfortunately, there\u2019s one fundamental truth behind all of them:<\/p>\n<p><strong>There\u2019s no professional email sign-off that\u2019s going to seal the deal<\/strong>\u00a0and make someone enthusiastically write you back.<\/p>\n<p>I\u2019d even go as far as to say <strong>a bad sign-off choice can only <\/strong><em><strong>hurt<\/strong><\/em><strong>\u00a0your chances of getting someone to write you back<\/strong>. Like in my examples in the prior section, I might wince at the awkwardness of \u201csincerely\u201d and be less inclined to respond.<\/p>\n<p>But \u2014 even though sign-offs are all downside, you generally can\u2019t shun them entirely. Professional standards dictate that you really do <em>need<\/em>\u00a0some kind of sign-off.<\/p>\n<p>That\u2019s where <strong>the benign-ness of \u201cbest regards\u201d is an asset<\/strong>.<\/p>\n<p>Best regards is inoffensive and, again, not too formal nor too casual. In other words, it\u2019s a sign-off that does its job: Checking the box of having a sign-off without potentially altering someone\u2019s perception of you.<\/p>\n<h3 id=\"3-you-can-use-it-wit-wouc\">3. You can use it with virtually every type of contact<\/h3>\n<p>Whether you\u2019re emailing a colleague or a client, you can use best regards.<\/p>\n<p>If you\u2019re a student reaching out to a professor, you can use best regards.<\/p>\n<p>If you\u2019re reaching out to a new contact or someone you\u2019ve been doing business with for decades, you can use best regards.<\/p>\n<p>In all five cases I\u2019ve just detailed, <strong>the recipient wouldn\u2019t flinch at \u201cbest regards.\u201d<\/strong><\/p>\n<h3 id=\"4-it-s-not-phony-detd\">4. It\u2019s not phony<\/h3>\n<p>I know we\u2019re talking about email sign-offs here, but let\u2019s switch for a moment to email openers (for me to make a point).<\/p>\n<p>In particular, I\u2019m going to talk about one of my least favorite openers: \u201cI hope this email finds you well.\u201d<\/p>\n<p>Not only is that a waste of an opening line \u2014 it\u2019s a vacuous, empty platitude.<\/p>\n<p>The person sending that email doesn\u2019t actually care if it \u201cfinds [me] well.\u201d They\u2019re just looking for some kind of small talk filler greeting before they get into asking me for something.<\/p>\n<p>Now back to best regards. <strong id=\"3-examples-of-effect-sfhf\">Best regards isn\u2019t a way of pretending you care.<\/strong><\/p>\n<p>It\u2019s a simple, unassuming way to say, \u201cI\u2019ve said my piece, I respect you, but I\u2019m not going to pretend I\u2019m trying to connect any deeper than that.\u201d<\/p>\n<h2>3 Examples of Effectively Using Best Regards as an Email Sign-Off<\/h2>\n<p>Here are three types of emails that end in best regards.<\/p>\n<p>I tried to really vary up these emails to <strong>show the wide swath of scenarios where \u201cbest regards\u201d fits naturally<\/strong>\u00a0at the end of an email.<\/p>\n<h3 id=\"ultra-formal-followi-uska\">Ultra-formal: Following up with a hiring manager<\/h3>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2024\/10\/bestregards-ultraformal.png\" data-rel=\"lightbox-image-0\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2024\/10\/bestregards-ultraformal.png\" alt=\"Formal email ending with best regards\" width=\"1476\" height=\"1184\" \/><\/a><\/figure>\n<p>Dear Michael,<\/p>\n<p>I wanted to follow up on my application for the Senior Analyst position, which I submitted on your website on September 19th. They\u2019re both more informal \u2014 and almost nurturing. I wouldn\u2019t want to use something this pillowy soft in formal communications, or any messages with stakes.<\/p>\n<h3 id=\"sincerely-oqqe\">Sincerely<\/h3>\n<p><strong>Tone: <\/strong>Formal and serious.<\/p>\n<p><strong>Why it\u2019s inferior to best regards:<\/strong>\u00a0It\u2019s stilted and feels antiquated, not right for a lot of modern, day-to-day professional correspondence.<\/p>\n<h3 id=\"thanks-thanks-again-trqe\">Thanks \/ thanks again<\/h3>\n<p><strong>Tone:<\/strong>\u00a0Friendly and polite.<\/p>\n<p><strong>Why they\u2019re inferior to best regards:<\/strong>\u00a0There\u2019s a suggestion of gratitude here that\u2019s not a good fit for every scenario.<\/p>\n<h3 id=\"thanks-in-advance-ziih\">Thanks in advance<\/h3>\n<p><strong>Tone:<\/strong>\u00a0More than a little passive-aggressive.<\/p>\n<p><strong>Why it\u2019s inferior to best regards:<\/strong>\u00a0It\u2019s too presumptuous and can be off-putting, especially compared to the more neutral tone of best regards.<\/p>\n<h3 id=\"all-the-best-audq\">All the best<\/h3>\n<p><strong>Tone:<\/strong>\u00a0Friendly and somewhat optimistic.<\/p>\n<p><strong>Why it\u2019s inferior to best regards:<\/strong>\u00a0This sign-off is less common than \u201cbest regards,\u201d so it might stop someone and make them think about it \u2014 rather than your message. It\u2019s also not quite as professional.<\/p>\n<h3 id=\"cheers-tuwe\">Cheers<\/h3>\n<p><strong>Tone:<\/strong>\u00a0Informal, friendly, and maybe British.<\/p>\n<p><strong>Why it\u2019s inferior to best regards:<\/strong>\u00a0Too informal and too colloquial for a lot of cases, especially with new contacts. Plus I do a really bad British accent, so if I sent this, a contact mistook me for British and liked that about me, I would have a tough time faking that persona indefinitely.<\/p>\n<h3 id=\"take-care-khxo\">Take care<\/h3>\n<p><strong>Tone:<\/strong>\u00a0Warm and fairly informal<\/p>\n<p><strong>Why it\u2019s inferior to best regards:<\/strong>\u00a0This treads into feeling too personal, especially in more formal situations.<\/p>\n<h3 id=\"looking-forward-to-i-zcjn\">Looking forward to it<\/h3>\n<p><strong>Tone:<\/strong>\u00a0Very casual<\/p>\n<p><strong id=\"should-i-end-cold-em-mfmd\">Why it\u2019s inferior to best regards:<\/strong>\u00a0Comes off surprisingly demanding, which isn\u2019t always the tone you want as your closing beat in an email.<\/p>\n<h2>Should I End Cold Emails with \u201cBest Regards\u201d?<\/h2>\n<p>No.<\/p>\n<p>Unfortunately, this is where my love fest with \u201cbest regards\u201d crashes right into the side of the mountain.<\/p>\n<p><strong>While \u201cbest regards\u201d is great for most professional emails, cold outreach isn\u2019t one of them<\/strong>.<\/p>\n<p>The reason: <strong>Cold emails don\u2019t need a sign-off<\/strong>.<\/p>\n<p>Sign-offs run counter to three of the absolute core principles of effective cold emailing:<\/p>\n<ol start=\"1\">\n<li>Ending with a CTA.<\/li>\n<li>Keeping the message as short as possible.<\/li>\n<li>Making every single damn word in the message focused on driving one prospect action.<\/li>\n<\/ol>\n<p>You want your cold email to end with an irresistible (or, at least, intriguing) call-to-action. You don\u2019t want to unleash your CTA and <em id=\"3-other-professional-tzmn\">then<\/em>\u00a0follow it up with a sign-off.<\/p>\n<p>Even sign-off royalty like \u201cbest regards.\u201d<\/p>\n<h2>3 Other Professional Scenarios Where Best Regards Doesn\u2019t Work As a Sign-Off<\/h2>\n<p>While I\u2019m already speaking ill of best regards, might as well keep it going and share some other situations where I <em>wouldn\u2019t<\/em>\u00a0use it as an email sign-off.<\/p>\n<h3 id=\"internal-communicati-hhou\">Internal communications<\/h3>\n<p>Don\u2019t end an email to your teammates, your boss, or your boss\u2019s boss with \u201cbest regards.\u201d<\/p>\n<p><strong>In those situations it feels <\/strong><em><strong>too<\/strong><\/em><strong>\u00a0unfamiliar<\/strong>. Instead, I\u2019d recommend a \u201cThanks!\u201d or \u201cTalk soon\u201d type of ending to the message.<\/p>\n<h3 id=\"delivering-bad-news-njmy\">Delivering bad news<\/h3>\n<p>If you\u2019re expressing condolences, turning down job candidates or vendors, or delivering other bad news, I\u2019d avoid ending with \u201cbest regards.\u201d<\/p>\n<p>This is <strong>actually a case where \u201cSincerely\u201d works better<\/strong>, as it adds that layer of formal distance.<\/p>\n<h3 id=\"informal-thank-yous-vxby\">Informal thank-yous or other emails that you want to have a spontaneous vibe<\/h3>\n<p>You may pore over a \u201cquick\u201d thank you note after an interview \u2014 but you want it to look like you just typed it from the heart and sent it off.<\/p>\n<p>In that case, and in the case of other informal messages, <strong id=\"best-regards-faq-rlnd\">a sign-off like \u201cbest regards\u201d feels somewhat overproduced<\/strong>.<\/p>\n<p>You\u2019re better off here with something leaning more familiar and casual, like \u201cThanks again\u201d or \u201cTake care.\u201d<\/p>\n<h2>Best Regards FAQ<\/h2>\n<p>Here are <strong>the most common questions people ask about \u201cbest regards\u201d<\/strong>\u00a0and my shot at giving helpful, definitive answers to those questions.<\/p>\n<h3 id=\"is-it-correct-to-say-nevw\">Is it correct to say \u201cbest regards\u201d?<\/h3>\n<p>Yes, it is correct to say \u201cbest regards\u201d as your sign-off for an email (or other document).<\/p>\n<p>Best regards is a widely accepted and recognized sign-off that works in both formal and less formal situations. It\u2019s both polished and natural, which means it\u2019s appropriate for clients, customers, partners, and other professional contacts.<\/p>\n<h3 id=\"is-best-regards-outd-hjfi\">Is best regards outdated?<\/h3>\n<p>No, best regards is not outdated \u2014 in fact, it\u2019s one of the most widely used and accepted modern email sign-offs.<\/p>\n<p>There\u2019s a certain timeless quality to it because of its neutrality and the fact that it\u2019s professional without being awkwardly formal.<\/p>\n<h3 id=\"what-can-we-write-in-ggsk\">What can we write instead of \u201cbest regards\u201d?<\/h3>\n<p>Other popular sign-offs include kind regards, sincerely, best, thanks, and take care.<\/p>\n<p>Be careful, though, as different sign-offs work (or don\u2019t work) in different contexts. One reason I like best regards is its versatility. Sincerely, for instance, sends a more formal message \u2014 which may or may not be your desired tone.<\/p>\n<h3 id=\"does-best-regards-ne-agow\">Does best regards need to be capitalized?<\/h3>\n<p>You should capitalize the the \u201cb\u201d \u2014 making the exact way you write the sign-off \u201cBest regards\u201d followed by a comma. (Then a line break or two, then your name.)<\/p>\n<p>I would NOT recommend capitalizing the R to start \u201cregards\u201d as well. This is a situation where you should use sentence case, not title case.<\/p>\n<h3 id=\"is-best-regards-form-exrd\">Is &#8220;best regards&#8221; formal or informal?<\/h3>\n<p>Best regards toes the line between formal and informal.<\/p>\n<p>It\u2019s not the <em>most<\/em>\u00a0formal sign-off, but it\u2019s also formal enough for most business communication.<\/p>\n<p>It\u2019s also not the <em>most<\/em>\u00a0informal sign-off \u2014 far from it \u2014 but it\u2019s casual enough to flow naturally in your more conversational communication.<\/p>\n<h3 id=\"is-best-regards-impo-idml\">Is best regards impolite?<\/h3>\n<p>No, best regards is not impolite.
