The bad news: I also found a few less great methods, but at least you don\u2019t have to bother with them.<\/p>\n<p>And now, I\u2019m passing along everything I found so you can see <strong>which inbox zero method works best for you<\/strong>.<\/p>\n<h2 id=\"inbox-zero-strategie-vomf\">Inbox Zero Strategies: Table of Contents<\/h2>\n<ul>\n<li><a href=\"#how-my-experiments-w-uafs\">How My Experiments Worked<\/a><\/li>\n<li><a href=\"#the-5-inbox-zero-str-fzrv\">The 5 Inbox Zero Strategies I Tested<\/a>\n<ul>\n<li><a href=\"#the-2-minute-rule-th-mpzc\">The 2-Minute Rule + The 10-Minute Blitz<\/a><\/li>\n<li id=\"how-my-experiments-w-uafs\"><a href=\"#the-touch-it-once-ru-xauk\">The Touch-It-Once Rule<\/a><\/li>\n<li><a href=\"#the-5-swipe-rule-fyga\">The 5-Swipe Rule<\/a><\/li>\n<li><a href=\"#the-9-am-3-pm-block-uklp\">The 9 AM \/ 3 PM Block<\/a><\/li>\n<li><a href=\"#the-weekly-clean-up-ntyn\">The Weekly Clean-Up<\/a><\/li>\n<\/ul>\n<\/li>\n<li><a href=\"#inbox-zero-strategie-mryd\">Inbox Zero Strategies: Conclusions and Next Steps<\/a><\/li>\n<\/ul>\n<h2>How My Experiments Worked<\/h2>\n<p>For my experiments, I tried five popular inbox zero strategies for <strong>anywhere from two to five days<\/strong>.<\/p>\n<p>I tried to mix in both <strong>weekdays<\/strong>\u00a0(where I get more email) and <strong>weekends<\/strong>\u00a0(where I get less email, but I\u2019m also spending less time at my computer).<\/p>\n<p>For my tests, I only wanted to use free tools \u2014 as well as tools that worked either on desktop or mobile.<\/p>\n<p>Which means I only used:<\/p>\n<ul>\n<li>The <strong>traditional Gmail interface<\/strong>.<\/li>\n<li><a href=\"https:\/\/www.gmass.co\/blog\/the-reply-project-fast-replies\/\">The Reply Project<\/a>, which is a <strong>free browser app that enables faster responses to emails<\/strong>\u00a0(it opens all emails on the screen and has templates and ChatGPT built in for responses).<\/li>\n<\/ul>\n<p>No paid apps, no Chrome extensions or add-ons \u2014 <strong id=\"the-5-inbox-zero-str-fzrv\">just my inbox and one free, in-browser tool<\/strong>.<\/p>\n<p>Important to note: We created The Reply Project. But it\u2019s free and super useful, so I don\u2019t feel like it\u2019s gratuitous for me to promote it far and wide.<\/p>\n<p>Here are my results.<\/p>\n<h2 id=\"the-2-minute-rule-th-mpzc\">The 5 Inbox Zero Strategies I Tested<\/h2>\n<h3>The 2-Minute Rule + The 10-Minute Blitz<\/h3>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-2min10min.png\" data-rel=\"lightbox-image-0\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-2min10min.png\" alt=\"Inbox Zero Strategies: 2-Minute Rule + 10-Minute Blitz\" width=\"1999\" height=\"933\" \/><\/a><\/figure>\n<h4 id=\"the-system-zbxg\">The system<\/h4>\n<p><strong>If any email takes less than two minutes to handle, take care of it immediately<\/strong>\u00a0then archive it. \u201cTwo minute\u201d emails include fast responses, messages with a task or appointment to add to my calendar\/to-do list, or anything else quick.<\/p>\n<p><strong>If any email would take longer than two minutes, add it to a twice-a-day \u201cblitz\u201d session<\/strong>\u00a0where you handle longer responses en masse.<\/p>\n<h4 id=\"my-results-spsf\">My results<\/h4>\n<p>I tried this strategy for three weekdays and one weekend day.<\/p>\n<p>I found myself <strong>doing most of the 2-Minute Rule work on my phone<\/strong>. Any time I checked my email on my phone, I would handle the email.<\/p>\n<p>I handled the <strong>10-Minute Blitz sessions on my computer<\/strong>. I found it hard to do this twice in a day, as it felt like something I needed to schedule \u2014 and I like to schedule my time for things that feel more important.<\/p>\n<p>Also, the only way I got this down to 10 minutes was to use The Reply Project so I could bring templates and AI into the mix.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-replyproject.png\" data-rel=\"lightbox-image-1\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-replyproject.png\" alt=\"Using The Reply Project\" width=\"1999\" height=\"1275\" \/><\/a><\/figure>\n<p>When I tried to do these blitzes in the Gmail tab, I went well over the 10-minute mark.<\/p>\n<p><strong>Average time spent on email per day: ~25 minutes<\/strong><\/p>\n<h4 id=\"recommendation-mjos\">Recommendation?<\/h4>\n<p>I found this method worked for clearing out my inbox\u2026 but <strong>there\u2019s no way I could stick with it long-term<\/strong>.<\/p>\n<p>I felt like it was making me too focused on email all day long. I also probably should\u2019ve turned off email notifications on my phone and watch, because as those came in I felt compelled to stop what I was doing and handle the \u201ctwo-minute\u201d emails.<\/p>\n<p>This system would also be hard if you get a lot of urgent, more involved emails.<\/p>\n<p><strong id=\"the-touch-it-once-ru-xauk\">Score: 7\/10<\/strong><\/p>\n<h3>The Touch-It-Once Rule<\/h3>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-touchitonce.png\" data-rel=\"lightbox-image-2\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-touchitonce.png\" alt=\"Inbox Zero Strategies: Touch-It-Once Rule\" width=\"1999\" height=\"933\" \/><\/a><\/figure>\n<h4 id=\"the-system-idmz\">The system<\/h4>\n<p><strong>If you open an email, you have to handle it<\/strong>\u00a0(respond, take action, archive, or delete).<\/p>\n<p>Some people also add a \u201csnooze\u201d option to this rule. To me, that runs contrary to the entire concept behind it. If you can snooze emails you don\u2019t feel like taking care of, then how is this different from the way I\u2019ve been handling email now?<\/p>\n<h4 id=\"my-results-spjb\">My results<\/h4>\n<p>I tried this strategy for two weekdays.<\/p>\n<p>On the bright side, I found myself <strong>checking my email a lot less frequently<\/strong>\u00a0because I knew I wasn\u2019t in the mood to deal with any potential complex emails.<\/p>\n<p>But on the downside, <strong>this didn\u2019t help me efficiently get to inbox zero<\/strong>. Instead, I would look at email subject lines and then let the emails sit in my inbox, unopened, until I got around to a point of finally being ready to deal with them.<\/p>\n<p>Then, even in those sessions where I was ready to deal with them, I would still let a handful of emails sit because I didn\u2019t want to deal with <em>those<\/em>.<\/p>\n<p>So this strategy, arguably, <strong>made it even <\/strong><em><strong>slower<\/strong><\/em><strong>\u00a0for me to get to inbox zero<\/strong>\u00a0than my normal email habits.<\/p>\n<p><strong>Average time spent on email per day: ~18 minutes<\/strong><\/p>\n<h4 id=\"recommendation-svci\">Recommendation?<\/h4>\n<p>I do not recommend this as an inbox zero method.<\/p>\n<p>It\u2019s a decent rule to follow if you\u2019re looking for a little something to streamline your email behavior \u2014 I just wouldn\u2019t expect it to completely revolutionize your approach to your inbox.<\/p>\n<p><strong id=\"the-5-swipe-rule-fyga\">Score: 2\/10<\/strong><\/p>\n<h3>The 5-Swipe Rule<\/h3>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-5swipe.png\" data-rel=\"lightbox-image-3\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-5swipe.png\" alt=\"Inbox Zero Strategies: 5-Swipe Rule\" width=\"1999\" height=\"933\" \/><\/a><\/figure>\n<h4 id=\"the-system-fams\">The system<\/h4>\n<p><strong>Swipe away (in other words, archive) at least five messages every time you check your email<\/strong>.<\/p>\n<p>This system doesn\u2019t address how you handle actual emails that need a reply; instead, it encourages active decluttering to keep your inbox filled with only your real, reply-worthy messages.<\/p>\n<h4 id=\"my-results-kaqk\">My results<\/h4>\n<p>I tried this strategy for three weekdays and two weekend days. I used this strategy on one of my personal email addresses that\u2019s absolutely packed with promotional emails, newsletters, and other notifications.<\/p>\n<p>While I didn\u2019t find it to be a great inbox zero strategy itself, I <em>did<\/em>\u00a0find it to be a <strong>really good way to gradually declutter my account<\/strong>. Granted, it would take months to archive everything in that account at this pace\u2026 but eventually I would do it.<\/p>\n<p>And it also <strong>encouraged me to mindlessly check my email less frequently<\/strong>\u00a0on my phone \u2014 because sometimes, I wasn\u2019t in the mood for swiping.<\/p>\n<p>I wound up <strong>adapting this strategy a bit and also adding in a daily blitz with The Reply Project<\/strong>\u00a0to handle the emails I couldn\u2019t just swipe away and actually needed to address. That transformed this into a much better inbox zero strategy as opposed to a decluttering strategy.<\/p>\n<p><strong>Average time spent on email per day: ~15 minutes<\/strong><\/p>\n<h4 id=\"recommendation-lcqa\">Recommendation?<\/h4>\n<p>The 5-swipe rule alone won\u2019t help you get to inbox zero on a daily basis \u2014 but it will help you gradually whittle down an overstuffed mailbox.<\/p>\n<p>It\u2019s also a <strong>really low-effort<\/strong>\u00a0way to do so. Rather than having to set aside time to clean your mailbox, you just swipe it down to nothing a tiny bit at a time.<\/p>\n<p>While this strategy forms a good habit, I recommend doing what I did and pairing it with a better system for dealing with \u201creal\u201d emails versus swipeable ones.<\/p>\n<p><strong id=\"the-9-am-3-pm-block-uklp\">Score: 4\/10 for the method alone, 9\/10 when paired with a daily blitz<\/strong><\/p>\n<h3>The 9 AM \/ 3 PM Block<\/h3>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-9am3pm.png\" data-rel=\"lightbox-image-4\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-9am3pm.png\" alt=\"Inbox Zero Strategies: 9 am \/ 3 pm Block\" width=\"1999\" height=\"933\" \/><\/a><\/figure>\n<h4 id=\"the-system-xdhb\">The system<\/h4>\n<p>There are lots of different systems built around only checking your email twice a day. I picked this one.<\/p>\n<p>Really, all the \u201ccompartmentalize your email checking\u201d strategies center around the same principle. <strong>You check email once in the morning<\/strong>\u00a0(generally when you\u2019re starting work) <strong>and once in the late afternoon<\/strong>\u00a0(before the end of the work day, but not too close to the end in case there\u2019s something you need to take care of).<\/p>\n<p>Within those two sessions, you clear out your inbox completely.<\/p>\n<p>The goal is to stop constantly checking your email, <strong>stop context switching<\/strong>\u00a0out of whatever you\u2019re doing to answer email, and get to inbox zero faster through this batch processing.<\/p>\n<h4 id=\"my-results-uqtr\">My results<\/h4>\n<p>I tried this strategy for three weekdays.<\/p>\n<p>Fortunately, I don\u2019t get a ton of urgent work emails so it was basically fine for me to check email only twice a day. (There was, however, about one email per day where I found myself responding later than I would\u2019ve liked.)<\/p>\n<p><strong>If you regularly receive urgent emails, this system wouldn\u2019t work for you<\/strong>. Likewise, if you tried to apply this method to a messaging program like Slack or even your text messages, it probably wouldn\u2019t work.<\/p>\n<p>The downside for me was <strong>having to schedule real blocks of time out of my day for email<\/strong>.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-schedulingemail.png\" data-rel=\"lightbox-image-5\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-schedulingemail.png\" alt=\"Scheduling email checks\" width=\"1002\" height=\"379\" \/><\/a><\/figure>\n<p>That doesn\u2019t really fit in with my preferred workflow \u2014 which is doing deeper work sessions and handling things like email in the gaps and breaks.<\/p>\n<p><strong>Average time spent on email per day: ~30 minutes<\/strong><\/p>\n<h4 id=\"recommendation-sxoh\">Recommendation?<\/h4>\n<p>I think there are a lot of versions and variations of this system floating around online because it <em>seems<\/em>\u00a0logical.<\/p>\n<p>Like\u2026 if I\u2019d never heard of inbox zero systems and sat down to come up with one cold, I\u2019d probably come up with something like this.<\/p>\n<p>And in practice, this is a totally fine system \u2014 <strong>if you don\u2019t regularly have a lot of urgent emails and if you\u2019re cool with blocking off valuable time in your day for email<\/strong>.<\/p>\n<p>But those are two big \u201cifs.\u201d For me, only one of those two was true, so this is not a sustainable system for me. Your mileage, however, may vary.<\/p>\n<p><strong id=\"the-weekly-clean-up-ntyn\">Score: 5\/10<\/strong><\/p>\n<h3>The Weekly Clean-Up<\/h3>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-weeklycleanup.png\" data-rel=\"lightbox-image-6\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/02\/inboxzero-weeklycleanup.png\" alt=\"Inbox Zero Strategies: Weekly Clean-Up\" width=\"1999\" height=\"933\" \/><\/a><\/figure>\n<h4 id=\"the-strategy-thel\">The strategy<\/h4>\n<p>Inbox zero strategies are technically something you\u2019re supposed to do daily.<\/p>\n<p>However, it can be hard on some days to carve out the time to deal with a whole bunch of emails. And then, once you fall behind for a single day, it\u2019s easy to let the emails start piling up.<\/p>\n<p>Plus, to me, <strong>daily pressure is the antithesis of inbox zero\u2019s underlying principle<\/strong>. The goal is to have email <em>not<\/em>\u00a0be a constant source of stress. Worrying about cleaning out my inbox daily added stress to my schedule.<\/p>\n<p>So\u2026 rather than trying to achieve inbox zero daily, <strong>I scheduled it for once a week<\/strong>. Throughout the week I addressed emails my usual way \u2014 responses here and there, some archiving, a whole lot of procrastinating.<\/p>\n<p>Then, on Sunday night, I cleaned all my inboxes all the way down to zero.<\/p>\n<h4 id=\"my-results-tkls\">My results<\/h4>\n<p>I did this strategy for two weeks.<\/p>\n<p><strong>This was my favorite of the systems<\/strong>. I had the lowest amount of email stress and got through my inbox cleanouts across all my mailboxes pretty quickly.<\/p>\n<p>However, by Sunday, my inboxes had <em>really<\/em>\u00a0piled up. And I feel like if I skipped a week, my inboxes might get to the point of being too intimidating (not to mention emails languishing that I should\u2019ve addressed).<\/p>\n<p>I found the best technique was to select all in Gmail, then go through and uncheck everything that needed more attention. I\u2019d archive all the checked emails.<\/p>\n<p>Then I\u2019d go into The Reply Project to zip through the rest. By batch processing my emails this way, the whole endeavor still took under 20 minutes both weeks.<\/p>\n<p><strong>Average time spent on email per day: ~5 minutes, then about 20 minutes on Sunday<\/strong><\/p>\n<h4 id=\"recommendation-wnux\">Recommendation?<\/h4>\n<p>I really liked this system and it works best with my schedule.<\/p>\n<p>It also works best with my inbox messiness tolerance, which is decently high.<\/p>\n<p>But again, <strong>this isn\u2019t the textbook definition of inbox zero<\/strong>\u00a0since it\u2019s not a daily cleansing.<\/p>\n<p>So if you\u2019re looking for a pure inbox zero system that keeps you in a constant state of a tidy, fully-cleared mailbox \u2014 this ain\u2019t it. But if you\u2019re looking for <strong>the most sustainable system<\/strong>, this is likely the one for you.<\/p>\n<p><strong id=\"inbox-zero-strategie-mryd\">Score: 9\/10<\/strong><\/p>\n<h2>Inbox Zero Strategies: Conclusions and Next Steps<\/h2>\n<p>To review, here are quick summaries of each of these options:<\/p>\n<ul>\n<li><strong>The 2-Minute Rule + 10-Minute Blitz<\/strong>\u00a0&#8211; effective, but might be hard to maintain long-term (7\/10)<\/li>\n<li><strong>The Touch-It-Once Rule<\/strong>\u00a0&#8211; made my situation even worse due to avoiding dealing with email (2\/10)<\/li>\n<li><strong>The 5-Swipe Rule<\/strong>\u00a0&#8211; good for decluttering, but only works for true inbox zero when paired with a blitz (4\/10 for the method, but 9\/10 with a blitz)<\/li>\n<li><strong>The 9 AM \/ 3 PM Block<\/strong>\u00a0&#8211; logical, but might not work for every person\u2019s schedule and\/or level of email urgency (5\/10)<\/li>\n<li><strong>The Weekly Clean-Up<\/strong>\u00a0&#8211; worked great for me, though not a true daily inbox zero method (9\/10)<\/li>\n<\/ul>\n<p>Throughout my experiments, I always found <strong><a href=\"https:\/\/www.gmass.co\/blog\/the-reply-project-fast-replies\/\">The Reply Project<\/a><\/strong><strong>\u00a0was the most helpful tool in not just getting to inbox zero \u2014 but getting there faster<\/strong>.<\/p>\n<p><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/replyproject-gif-new1-1.gif\" data-rel=\"lightbox-image-7\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-22825\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2023\/03\/replyproject-gif-new1-1.gif\" alt=\"The Reply Project in action\" width=\"800\" height=\"400\" \/><\/a><\/p>\n<p>Another great use for The Reply Project: When you send out an email campaign, you get a bunch of replies, and need to reply to them fast.<\/p>\n<p>Fortunately, the Reply Project is built right into GMass to handle that.<\/p>\n<p>If you\u2019re not familiar, <strong>GMass transforms Gmail into an email sending platform<\/strong>.
