{"id":25348,"date":"2025-06-04T05:50:21","date_gmt":"2025-06-04T05:50:21","guid":{"rendered":"https:\/\/www.gmass.co\/blog\/?p=25348"},"modified":"2025-06-04T05:50:21","modified_gmt":"2025-06-04T05:50:21","slug":"gmail-built-in-mail-merge","status":"publish","type":"post","link":"https:\/\/www.gmass.co\/blog\/gmail-built-in-mail-merge\/","title":{"rendered":"The 11 Fatal Problems with Gmail&#8217;s Built-In Mail Merge"},"content":{"rendered":"<p>If you didn\u2019t know <strong>Gmail has a built-in mail merge tool<\/strong>\u2026 well, you\u2019re not alone.<\/p>\n<p>Google first rolled out a bare bones mail merge tool for Gmail in June 2023.<\/p>\n<p>They didn\u2019t announce it or have any sort of fanfare about it \u2014 in fact, we work in the \u201c<a href=\"https:\/\/www.gmass.co\/gmail-mail-merge\">mail merge for Gmail<\/a>\u201d business and didn\u2019t even hear about it until we spotted the announcement buried on their Workspace updates blog a week later.<\/p>\n<p>Since the launch, Google has made a couple of improvements and upgrades to their mail merge tool (most notably, allowing for <a href=\"https:\/\/www.gmass.co\/blog\/google-sheets-mail-merge\/\">Google Sheets mail merges<\/a> rather than only allowing merges with <a href=\"https:\/\/www.gmass.co\/blog\/gmail-contact-list\/\">Google Contacts<\/a>).<\/p>\n<p><strong>The tool\u2019s abilities still pale in comparison to the third-party Gmail mail merge options on the market<\/strong>.<\/p>\n<p>However, it is free. Or, at least, free with some paid Workspace subscriptions (so not totally free, but included in a current line item).<\/p>\n<p>That makes it tempting.<\/p>\n<p>In this article, I\u2019ll help save you the time by giving you <strong>the results of my real hands-on experience with Gmail\u2019s mail merge<\/strong>\u00a0\u2014 which demonstrates exactly why it\u2019s likely not going to meet your mail merge needs.<\/p>\n<p>I\u2019ll also share <strong>the best alternative mail merge tool for Gmail<\/strong>\u00a0and compare it with the native option.<\/p>\n<p>Let\u2019s jump in.<\/p>\n<h2 id=\"gmail-s-built-in-mai-vaxl\">Gmail\u2019s Built-In Mail Merge Problems: Table of Contents<\/h2>\n<ul>\n<li><a href=\"#the-11-fatal-flaws-o-swkt\">The 11 Fatal Flaws of Gmail\u2019s Native Mail Merge Feature<\/a><\/li>\n<li id=\"the-11-fatal-flaws-o-swkt\"><a href=\"#the-best-alternative-vefq\">The Best Alternative to Gmail\u2019s Built-in Mail Merge: GMass<\/a><\/li>\n<\/ul>\n<h2>The 11 Fatal Flaws of Gmail\u2019s Native Mail Merge Feature<\/h2>\n<p>Here are the critical problems I\u2019ve found in my tests of Gmail\u2019s mail merge tool \u2014 problems that will likely <strong>prevent this from being the solution you need<\/strong>\u00a0to send important, personalized, individual email campaigns.<\/p>\n<h3 id=\"1-gmail-s-built-in-m-fkok\">1. Gmail\u2019s built-in mail merge isn\u2019t available on the most popular Workspace plans.<\/h3>\n<p>Gmail\u2019s mail merge comes \u201cfree\u201d with Google Workspace plans.<\/p>\n<p>But \u2014 and this is a <em>big<\/em>\u00a0BUT \u2014 not the most popular Workspace plan.<\/p>\n<p><strong>Gmail\u2019s mail merge tool is not included on the Business Starter plan<\/strong>. That\u2019s the one you use, and I use, and most people you know use. It\u2019s the one that\u2019s $7\/month.<\/p>\n<p>It\u2019s included on the Workspace Individual plan which basically no one uses; that plan is so obscure you can\u2019t even find pricing information for it. It\u2019s included on more expensive Business, Enterprise, and Education Workspace plans. And that\u2019s it.<\/p>\n<figure style=\"text-align: center;\"><img decoding=\"async\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/06\/gmailnativemailmerge-workspacepricing.png\" alt=\"Google Workspace pricing\" \/><\/figure>\n<p>So if you\u2019re looking for this mail merge tool and can\u2019t find it, this is why.<\/p>\n<p>You\u2019ll have to decide if it\u2019s worth upgrading just to use it \u2014 and if you do upgrade, then it\u2019s <em>really<\/em>\u00a0not \u201cfree\u201d anymore.<\/p>\n<h3 id=\"2-you-can-t-mail-mer-pfmg\">2. You can\u2019t mail merge in the subject line.<\/h3>\n<figure style=\"text-align: center;\"><img decoding=\"async\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/06\/gmailnativemailmerge-subjectlines.png\" alt=\"No mail merge in subject lines\" \/><\/figure>\n<p>This is a major flaw.<\/p>\n<p>One of the reasons the concept of mail merge is so important is because you <em>can<\/em>\u00a0customize a subject line to speak directly to each recipient\u2019s pain point \u2014 or, at a minimum, to jam their first name in there.<\/p>\n<p>Gmail\u2019s built-in mail merge explicitly states <strong>you can\u2019t use mail merge in subject lines<\/strong>.<\/p>\n<p><strong>That alone is likely a dealbreaker for most people<\/strong>.<\/p>\n<h3 id=\"3-you-can-t-schedule-cded\">3. You can\u2019t schedule your mail merge.<\/h3>\n<figure style=\"text-align: center;\"><img decoding=\"async\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/06\/gmailnativemailmerge-scheduling.png\" alt=\"No scheduling in Gmail's native mail merge tool\" \/><\/figure>\n<p>Gmail has built-in scheduling. It\u2019s not super powerful (it\u2019s just date and time), but it\u2019s quick and easy to use.<\/p>\n<p>Unfortunately, <strong>when you use Gmail\u2019s mail merge tool, you lose the ability to use that scheduling option<\/strong>.<\/p>\n<p>Once again, <strong>this is a <\/strong><em><strong>major<\/strong><\/em><strong>\u00a0dealbreaker<\/strong>.<\/p>\n<p>I talk with mail merge users daily and I know just how important scheduling is. In fact, our team here has built out our <a href=\"https:\/\/www.gmass.co\/features\/gmail-scheduling\">scheduling tools<\/a> and continues to build them out because of just how important it is.<\/p>\n<p>But Google went the other direction \u2014 and took <em>away<\/em>\u00a0scheduling from people who want to send mail merges.<\/p>\n<h3 id=\"4-there-s-no-advance-xmcl\">4. There\u2019s no advanced mail merge options like personalized images, links, or attachments.<\/h3>\n<p>With Gmail\u2019s native mail merge, <strong>you can mail merge words \u2014 and that\u2019s it<\/strong>.<\/p>\n<p>Modern mail merge software can do <em>so<\/em>\u00a0much more. Sending personalized images, links, and even attachments are powerful tools at an email pro\u2019s disposal.<\/p>\n<h3 id=\"5-there-s-no-trackin-vhrj\">5. There\u2019s no tracking or analytics.<\/h3>\n<p>How can you know if your campaigns are working if you can\u2019t track them?<\/p>\n<p><strong>Gmail\u2019s native mail merge campaigns offer no analytics at all<\/strong>: No open rates, no click-through rates or seeing which links got clicks, no reply rates, no unsubscribe rates, no bounce rates.<\/p>\n<p>I suppose you could compile a few of those manually, but that\u2019s unnecessarily time consuming.<\/p>\n<h3 id=\"6-there-s-no-automat-lejp\">6. There\u2019s no automation (around follow-ups or campaigns).<\/h3>\n<p>Want to send automated follow-ups to your mail merge campaign? <strong>You can\u2019t do that<\/strong>\u00a0with Gmail\u2019s native mail merge tool.<\/p>\n<p>Want to automate the campaign itself so it instantly goes out to any new contacts you add to your Google Sheet? Nope again.<\/p>\n<p>One of the first lessons you learn when you dive into email marketing, cold email, or any other professional application of email is: Automations are golden.<\/p>\n<p>With Google\u2019s mail merge tool, you can\u2019t employ them at all.<\/p>\n<h3 id=\"7-there-are-hard-lim-mrfh\">7. There are hard limits on how many messages you can send in a campaign and in a day.<\/h3>\n<p><strong>Google has strict limits on how many emails you can send in a mail merge campaign<\/strong>.<\/p>\n<p>You can:<\/p>\n<ul>\n<li>Send to a maximum of 1,500 recipients in a day.<\/li>\n<li>That\u2019s the total if you do multiple campaigns, so, say, a 1,000-person campaign and a 500-person campaign.<\/li>\n<li>If you CC or BCC someone on the campaign, that counts against your quote. So if you send a 750-person campaign and CC someone, that\u2019s your 1,500 sends right there. (They cap you at one CC or BCC recipient for each campaign.)<\/li>\n<li>You cannot set up a campaign to more people than that to have them spread out across multiple days.<\/li>\n<li>And you, obviously, cannot break those limits.<\/li>\n<\/ul>\n<figure style=\"text-align: center;\"><img decoding=\"async\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/06\/gmailnativemailmerge-sendinglimits.png\" alt=\"Gmail mail merge's sending limits\" \/><\/figure>\n<p>So if you want to send a larger campaign, their answer is\u2026 no.<\/p>\n<p><strong>This does not have to be the case<\/strong>. When we get to the section on using GMass for mail merges, I\u2019ll show you how you can send to unlimited recipients \u2014 whether in one day or distributed over many days.<\/p>\n<h3 id=\"8-it-s-missing-every-roqe\">8. It\u2019s missing every possible advanced or even slightly advanced feature you could want from a mail merge platform.<\/h3>\n<p>I\u2019ve talked to (quite literally) 10,000+ mail merge senders over the past few years.<\/p>\n<p>And one of the things I\u2019ve learned is: You never know which feature is going to be the one that makes them say, \u201cYES! That\u2019s what I\u2019ve been looking for.\u201d<\/p>\n<p>Maybe it\u2019s <a href=\"https:\/\/www.gmass.co\/blog\/ab-test\/\">A\/B testing<\/a>. Maybe it\u2019s quick <a href=\"https:\/\/www.gmass.co\/blog\/email-polls\/\">email polls<\/a>. Maybe it\u2019s automatically <a href=\"https:\/\/www.gmass.co\/blog\/skip-holidays\/\">skipping holidays<\/a> or <a href=\"https:\/\/www.gmass.co\/blog\/choose-specific-days\/\">weekends<\/a>. Maybe it\u2019s <a href=\"https:\/\/www.gmass.co\/blog\/new-feature-globally-shared-unsubscribes-and-bounces-for-multi-user-google-apps-organizations\/\">sharing unsubscribe or bounce lists<\/a> across a team. Maybe it\u2019s being able to <a href=\"https:\/\/www.gmass.co\/blog\/send-as-replies-examples\/\">send a new campaign as replies to prior messages<\/a>.<\/p>\n<p>Maybe it\u2019s one of the hundreds of other things that Google\u2019s mail merge doesn\u2019t have.<\/p>\n<h3 id=\"9-google-doesn-t-see-dvbx\">9. Google doesn\u2019t seem invested in the tool. (So start clearing a plot for it in the Google graveyard?)<\/h3>\n<p>As I said in the intro of this message, Google gave their mail merge feature exactly zero fanfare when it launched.<\/p>\n<p>It\u2019s years later now and they\u2019ve still given it zero publicity.<\/p>\n<p>They have <a href=\"https:\/\/www.youtube.com\/watch?v=tIXhg9fBEUY\">one 1:33-long video<\/a> about how to use it and a <a href=\"https:\/\/support.google.com\/mail\/answer\/12921167\">single page in the Gmail help docs<\/a>.<\/p>\n<p>It\u2019s received one update.<\/p>\n<p>It\u2019s still buried inside of their less popular Workspace plans.<\/p>\n<p><strong>The evidence all points in the same direction: Gmail\u2019s native mail merge tool isn\u2019t a priority for Google<\/strong>.<\/p>\n<p>And we all know what happens to products that Google doesn\u2019t really find important. (We\u2019ve all lost a product or two to the <a href=\"https:\/\/killedbygoogle.com\/\">Google graveyard<\/a>\u00a0\u2014 products that were <em>a lot<\/em>\u00a0bigger and more widely-used than their native mail merge.)<\/p>\n<p>I\u2019m not saying Gmail\u2019s built-in mail merge is going to vanish tomorrow \u2014 but I wouldn\u2019t be shocked if it did.<\/p>\n<h3 id=\"10-gmail-s-built-in-yvyx\">10. Gmail\u2019s built-in mail merge is wildly impractical for any real business purpose.<\/h3>\n<p>After everything I\u2019ve detailed above, you\u2019ve probably arrived at the same conclusion I have: <strong>Gmail\u2019s native mail merge tool just isn\u2019t made for doing any real business<\/strong>.<\/p>\n<p>If you need to send out some personalized birthday invitations as a one-time thing, it would be fine for that.<\/p>\n<p>If you\u2019re just trying to save a little time when you need to email a few dozen people all a similar-but-slightly-personalized email, it would be fine for that.<\/p>\n<p>But if you\u2019re sending anything important\u2026 anything with real business implications\u2026 anything that requires care and thought and consideration \u2014 this tool isn\u2019t going to get the job done.<\/p>\n<h3 id=\"11-even-though-you-r-rmen\">11. Even though you\u2019re sending through Gmail, there\u2019s still a decent chance you\u2019ll go to spam \u2014 and they kinda shrug that off.<\/h3>\n<p>And one more thing, before we dive into the alternative.<\/p>\n<p>As I\u2019ve spoken with people from time to time who ask me about Gmail\u2019s built-in mail merge, one of the common refrains I hear is: I bet it has great deliverability!<\/p>\n<p>After all, you\u2019re sending through Gmail using a Gmail tool, Google\u2019s gotta prioritize getting you to the inbox\u2026 right?<\/p>\n<p>Nope.<\/p>\n<p>In the Google documentation about their mail merge tool, <strong id=\"the-best-alternative-vefq\">it\u2019s clear they\u2019re not giving any preferential deliverability treatment to mail merge senders<\/strong>. They talk a bit about following best practices and all the usual stuff, and that\u2019s it.<\/p>\n<p>No tips. No techniques. No strategies. No tools to help you avoid spam.<\/p>\n<p>You won\u2019t get any sort of appreciable deliverability advantage by using Gmail\u2019s native tool.<\/p>\n<h2>The Best Alternative to Gmail\u2019s Built-in Mail Merge: GMass<\/h2>\n<p>So\u2026 if Gmail\u2019s native mail merge tool is this critically flawed, what do you do?<\/p>\n<p><strong>GMass is the answer<\/strong>.<\/p>\n<figure style=\"text-align: center;\"><img decoding=\"async\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/06\/gmailnativemailmerge-gmasshomepage.png\" alt=\"GMass, the best alternative\" \/><\/figure>\n<p><strong>GMass is a <a href=\"https:\/\/chrome.google.com\/webstore\/detail\/gmass-powerful-mail-merge\/ehomdgjhgmbidokdgicgmdiedadncbgf\">Chrome extension<\/a> that transforms Gmail into an email sending and mail merge platform<\/strong>\u00a0\u2014 but it\u2019s <strong>WAY more powerful than Gmail\u2019s mail merge<\/strong>.<\/p>\n<p>Yet, somehow, <strong>it\u2019s not any more complicated to use<\/strong>.<\/p>\n<p>It still <strong>works inside Gmail<\/strong>, it still works with Google Sheets, and it has pretty much no learning curve.<\/p>\n<p>If you\u2019re sending mail merges that matter \u2014 for business, to subscribers, to job candidates, cold outreach, even important invitations or other personal messages \u2014 you need a professional tool.<\/p>\n<p>Here are just some of the things you can do with GMass that are infinitely superior to Gmail\u2019s native mail merge tool.<\/p>\n<h3 id=\"1-gmass-has-more-sop-nnzq\">1. GMass has more sophisticated mail merge capabilities than Gmail (and, yes, you can mail merge in the subject line with GMass).<\/h3>\n<p>Gmail&#8217;s mail merge allows for basic text merges (first names, company name, things like that).<\/p>\n<p>With GMass, first of all, you can do all that <a href=\"https:\/\/www.gmass.co\/blog\/mail-merge-personalization\/\">mail merge personalization<\/a> too \u2014 <em>and <\/em>mail merge in the subject line.<\/p>\n<p>But <strong>GMass also gives you <\/strong><em><strong>way<\/strong><\/em><strong>\u00a0more mail merge options<\/strong>\u00a0that can save you tons of time and make your emails <em>that<\/em>\u00a0much more effective:<\/p>\n<ul>\n<li><a href=\"https:\/\/www.gmass.co\/blog\/how-to-include-a-personalized-link-in-a-gmail-email-marketing-campaign\/\">Personalized links<\/a>.<\/li>\n<li><a href=\"https:\/\/www.gmass.co\/blog\/how-to-include-personalized-image-in-email-marketing-campaign\/\">Personalized images<\/a>.<\/li>\n<li><a href=\"https:\/\/www.gmass.co\/blog\/pdf-mail-merge-send-bulk-emails-pdf-attachments\/\">Personalized attachments<\/a>.<\/li>\n<li><a href=\"https:\/\/www.gmass.co\/blog\/set-cc-and-bcc-fields-in-a-mail-merge-from-a-spreadsheet-column\/\">Personalized CC and BCC recipients<\/a>.<\/li>\n<li><a href=\"https:\/\/www.gmass.co\/blog\/conditional-content\/\">Conditional content<\/a>, using <code>if\u2026then<\/code> logic.<\/li>\n<li>Mail merge inside of automated follow-ups.<\/li>\n<\/ul>\n<h3 id=\"2-gmass-has-advanced-gjqo\">2.
