Merge Fields Not Populating<\/h3>\n<p>This is <em>the<\/em>\u00a0prototypical mail merge fail.<\/p>\n<p>You think you&#8217;re sending &#8220;Hi Sarah,&#8221; but Sarah gets &#8220;Hi {FirstName,&#8221; and now she thinks you don&#8217;t know how to use basic technology. You\u2019re also pretty much guaranteed not to get a response.<\/p>\n<h4 id=\"common-causes-mvtb\">Common causes:<\/h4>\n<ul>\n<li>Extra spaces in your column headers (&#8220;First Name&#8221; vs &#8220;FirstName&#8221;)<\/li>\n<li>Different capitalization (&#8220;firstname&#8221; vs &#8220;FirstName&#8221;)<\/li>\n<li>Special characters or symbols in headers<\/li>\n<li>Changing the name of a column in your Google Sheet before you send<\/li>\n<li>Mistyping syntax (like \u201c{{FirstName}} or {FirstName instead of {FirstName}\u201d)<\/li>\n<li>You hit the blue Send button in Gmail, not your mail merge software\u2019s send button<\/li>\n<\/ul>\n<h4 id=\"how-to-fix-it-ayvj\">How to fix it:<\/h4>\n<p>As you can see, most of your problems are going to come from <strong>issues in your Google Sheet column headers<\/strong>. They don\u2019t make it easy on you \u2014 but if you can actually get to these links, your mail merged images will work.<\/p>\n<h3 id=\"6-emails-going-to-sp-umdk\">6. Emails Going to Spam<\/h3>\n<p>Your email campaign lands in spam. Could it be your mail merge fields?<\/p>\n<h4 id=\"common-cause-qcds\">Common cause:<\/h4>\n<ul>\n<li>Almost certainly not anything to do with your mail merge content.<\/li>\n<\/ul>\n<p>How to fix it:<\/p>\n<p>I included this in my list because people ask me all the time about mail merge and spam issues\u2026 but really, <strong>your mail merge fields are rarely going to be the cause of deliverability problems<\/strong>.<\/p>\n<p>If anything, mail merge should <em>help<\/em>\u00a0you because you\u2019re not sending out a ton of identical emails \u2014 and, in theory, mail merge messages get <em>better<\/em>\u00a0engagement because they\u2019re more targeted and actionable.<\/p>\n<p>If you\u2019re worried about deliverability issues with your mail merge, the best thing you can do is: Actually find out if you\u2019re going to have problems.<\/p>\n<p><strong>Run your campaigns through <a href=\"https:\/\/www.gmass.co\/blog\/spam-solver-tweaks-emails\/\">Spam Solver<\/a> before you send them<\/strong>. Attachments Not Sending or Wrong Attachments<\/h3>\n<p>You say you\u2019re attaching a proposal\u2026 but your personalized proposal PDF (that\u2019s a hell of a tongue twister) isn\u2019t actually attached.<\/p>\n<h4 id=\"common-causes-agvh\">Common causes:<\/h4>\n<ul>\n<li>Incorrect file names or paths.<\/li>\n<li>To a lesser extent, file permission or size issues.<\/li>\n<\/ul>\n<h4 id=\"how-to-fix-it-ahoe\">How to fix it:<\/h4>\n<p>As I noted in the section on image issues, in virtually <em>all<\/em>\u00a0the cases I\u2019ve seen with mail merge attachment issues, <strong>the problem is caused by Google Drive and Dropbox\u2019s obtuse link structure<\/strong>.<\/p>\n<p>So if you\u2019re going to send <a href=\"https:\/\/www.gmass.co\/blog\/pdf-mail-merge-send-bulk-emails-pdf-attachments\/\">personalized attachments<\/a>, make sure your files have the right permissions, they aren\u2019t too large \u2014 and then, make sure you really drill down to their actual URLs.<\/p>\n<p>And this is another case where it really <strong>makes sense to create your campaign as drafts to spot check before sending<\/strong>.<\/p>\n<h3 id=\"8-campaign-stopping-lhzf\">8. Campaign Stopping Mid-Send<\/h3>\n<p>Your 500-person campaign stops after 243 messages sent and you have no idea why.<\/p>\n<h4 id=\"common-causes-ptob\">Common causes:<\/h4>\n<ul>\n<li>You hit Gmail&#8217;s daily sending limits.<\/li>\n<li>Recipients are on your unsubscribe or bounce list, so messages to them are being suppressed.<\/li>\n<\/ul>\n<h4 id=\"how-to-fix-it-uhgs\">How to fix it:<\/h4>\n<p>Know your <a href=\"https:\/\/www.gmass.co\/blog\/understanding-gmails-email-sending-limits\/\">sending limits<\/a>. Free Gmail accounts can send up to 500 recipients per day; paid Google Workspace accounts can send up to 2,000.<\/p>\n<p>If your campaign is larger than that, make sure you know how your mail merge tool will handle it.<\/p>\n<p>Gmail\u2019s built-in tool has a hard limit of 1,500 recipients per campaign. Other apps do as well.<\/p>\n<p>Some, though, have real solutions.
