HubSpot is a leading inbound marketing and sales platform.\u00a0GMass<\/b> is a leading cold email and email marketing platform which excels at Gmail mail merges<\/a>. And\u2026 fortunately, the two play quite nice together.<\/p>\n

Let\u2019s take a look at how you can use GMass\u2019s BCC feature<\/a><\/strong>\u00a0to automatically log all your outgoing emails into\u00a0HubSpot CRM<\/b>.<\/p>\n

How to Log Outgoing GMass Emails in Hubspot<\/h2>\n

The goal here is having emails you send via\u00a0GMass<\/b>\u00a0\u201clogged\u201d in\u00a0HubSpot\u2019s CRM<\/b>. This means that HubSpot will:<\/p>\n

    \n
  1. Be aware you sent an email<\/strong> to that person.<\/li>\n
  2. Extract the email address<\/strong> from the sent email.<\/li>\n
  3. Then either add the person as a brand new HubSpot CRM contact and log the email<\/strong> to that contact \u2014 or, if you already have them in your HubSpot account as a contact, simply log that this email was sent to that contact.<\/li>\n<\/ol>\n

    Set up your Hubspot CRM account<\/h3>\n

    First off, you\u2019ll need a\u00a0HubSpot account<\/a>. For this tutorial, I\u2019ll assume you have signed up for\u00a0HubSpot CRM Free account<\/b>.<\/p>\n

    (Note, although it asks for a website URL and company name, they indicate in their own help document that\u00a0they do not validate either of these<\/a>\u00a0, so it\u2019s OK to enter a fake company name and fake URL if you\u2019re merely trying out HubSpot).<\/p>\n

    \"\"<\/a><\/p>\n

    Before we do anything, let\u2019s verify that your\u00a0HubSpot CRM Contacts<\/b>\u00a0does not yet contain the people you are about to email. To see that, click on\u00a0Contacts<\/b>\u00a0on the\u00a0top menu bar in HubSpot<\/b>, and it will bring up this page:<\/p>\n

    \"Hubspot<\/a><\/p>\n

    Notice there are only two sample contacts shown. These were provided by HubSpot at signup.<\/p>\n

    Here you can see that there are only two contacts, and these are just fake sample contacts provided by\u00a0HubSpot<\/b>\u00a0when you first sign up. (This situation will soon change after we use\u00a0GMass and BCC<\/b>.)<\/p>\n

    Get your Hubspot BCC address<\/h3>\n

    To log your sent emails in Hubspot you\u2019ll need a special email address known in HubSpot terminology as your\u00a0BCC address<\/b>.<\/p>\n

    To get that address, make sure you\u2019re logged into your\u00a0HubSpot CRM account<\/b>.<\/p>\n

    Click on the\u00a0user icon in the upper right hand side of the HubSpot screen<\/b>. This will open a dropdown menu. From that menu, select\u00a0Profile & Preferences<\/b>.<\/p>\n

    \"The<\/a><\/p>\n

    Clicking Profile & Preferences will take you to the\u00a0Settings page in HubSpot CRM<\/b>. The BCC address is pretty buried in here. On the left hand side menu, under\u00a0Data Management <\/b>click on\u00a0Objects<\/b>\u00a0and then click on\u00a0Activities.<\/b><\/p>\n

    \"Finding<\/a><\/p>\n

    On the activities page, click the tab to switch to the Email Logging options.<\/p>\n

    \"Hubspot's<\/a><\/p>\n

    Scroll down and you\u2019ll find a section called\u00a0Manual Logging<\/b>. There you\u2019ll see a section titled \u201cBCC Address (Outgoing)<\/b>\u201d with your address. It will be of the form \u201c1234567@bcc.hubspot.com<\/b>\u201d.\u00a0Click Copy to copy this email address to the clipboard.<\/b><\/p>\n

    \"Your<\/a><\/p>\n

    Compose your email in Gmail<\/h3>\n

    Head over to\u00a0Gmail<\/b> and compose a GMass campaign email as you normally would, with the recipients of the email included in the To field<\/b>\u00a0of the\u00a0Gmail compose window.<\/b>\u00a0(You could also connect a Google Sheet for this campaign. For simplicity\u2019s sake in this example, I just put three emails in the To field.)<\/p>\n

    \"Compose<\/a><\/p>\n

    Click anywhere in the\u00a0To field<\/b>\u00a0in order to reveal the\u00a0option for including a CC or BCC in this email<\/b>. (Alternately, you can use\u00a0Ctrl-Shift-B<\/b>\u00a0while in the\u00a0Gmail compose window<\/b>).<\/p>\n

    \"Finding<\/a><\/p>\n

    Click on\u00a0BCC<\/b>\u00a0to create a\u00a0BCC field.<\/b><\/p>\n

    \"BCC<\/a><\/p>\n

    Now,\u00a0paste your Hubspot BCC address into the BCC field<\/b>.<\/p>\n

    \"Paste<\/a><\/p>\n

    Your unique\u00a0HubSpot BCC address<\/b> is now a part of this campaign. That address will be BCCed on every email.<\/p>\n

    \"BCC<\/p>\n

    Sending your campaign<\/h3>\n

    Now you can simply send via\u00a0GMass<\/b>\u00a0as you normally would by clicking on the red\u00a0GMass<\/b>\u00a0button.<\/p>\n

    \"Send<\/a><\/p>\n

    At this point you\u2019ll receive that\u00a0a warning popup.<\/b>\u00a0That\u2019s\u00a0because you included an email address in the BCC field of this email<\/b>\u00a0and\u00a0GMass<\/b>\u00a0is making sure you intended to do this.<\/p>\n

    (Note: The reason for this check is important: if there is anything included in the <\/i>Gmail BCC field<\/b>, GMass <\/b><\/em>will send a copy of all of the emails sent to all of the recipients in your list. That will mean that the address in BCC can receive hundreds of emails \u2014 so we want to be sure that\u2019s on purpose. In this case, that\u2019s fine, because we <\/i>do <\/b>want <\/i>HubSpot CRM\u2019s BCC address <\/b><\/em>to receive a copy of all these emails so that it can log the recipients as contacts.<\/i>)<\/p>\n

    \"The<\/a><\/p>\n

    Click \u201cYes, I\u2019m sure\u201d in the warning popup window.<\/b>\u00a0GMass<\/b>\u00a0will then send out your emails.<\/p>\n

    As usual,\u00a0your emails went out as individual emails to your list of recipients in the To field<\/b>, but also, in each case, to the\u00a0HubSpot BCC address<\/b>\u00a0as a\u00a0BCC<\/b>\u00a0\u2014 meaning\u00a0your recipients will not know that a copy of the email they got was also sent to HubSpot<\/b>\u00a0(which is what you want).<\/p>\n

    Here\u2019s an example of one email from my Sent folder. I can see there was a BCC. The recipient wouldn’t see that.<\/p>\n

    \"A<\/a><\/p>\n

    Finding your new contacts in Hubspot<\/h3>\n

    Now let\u2019s see what happened back in\u00a0HubSpot CRM<\/b>. Go back to that tab and make sure you have the\u00a0Contacts page <\/b>open (if not, click on\u00a0Contacts<\/b>\u00a0on the\u00a0menu bar at the top<\/b>).<\/p>\n

    You will see the three people you emailed in this example\u00a0have automatically been added to your HubSpot Contacts<\/b>, and their\u00a0names<\/b>\u00a0(if available),\u00a0email addresses<\/b>, and the\u00a0timestamp of last activity<\/b>\u00a0with this contact (in this case, the sending of this email) has been logged.<\/p>\n

    \"The<\/a><\/p>\n

    Congratulations! You\u2019ve successfully logged your GMass recipients into HubSpot CRM!<\/b><\/p>\n

    If you\u2019d like to explore one of these newly-added contacts within\u00a0HubSpot CRM<\/b>, that\u2019s easy. Click on the person\u2019s name to\u00a0bring up their whole profile page<\/b>\u00a0(or click\u00a0Preview<\/b> to see a simpler look). Note that this profile has a copy of the email and the time when you sent it.<\/p>\n

    \"Viewing<\/a><\/p>\n

    Finally,\u00a0in the future, if you send further emails to these same recipients<\/b>\u00a0and\u00a0Bcc<\/b>\u00a0it to the\u00a0Bcc address in HubSpot CRM<\/b>, then\u00a0HubSpot CRM<\/b>\u00a0will simply log the emails to these contacts, since they already exist in your\u00a0HubSpot<\/b>\u00a0CRM<\/b>\u00a0account. However, if you include a\u00a0new <\/i>email address in the list of recipients,\u00a0HubSpot CRM will create a new contact<\/b>\u00a0for that person as well as log the email that was sent to them.<\/p>\n","protected":false},"excerpt":{"rendered":"
