Here are the pros and cons of each.<\/p>\n<h3 id=\"not-actually-an-opti-apni\">Not Actually an Option: Gmail&#8217;s Built-in Mail Merge<\/h3>\n<p>In 2023, Google low key added a <a href=\"https:\/\/www.gmass.co\/blog\/gmail-built-in-mail-merge\/\">mail merge feature to Gmail<\/a>. You might not even know it exists \u2014 they announced it quietly and basically never promote it.<\/p>\n<p>There\u2019s a reason.<\/p>\n<p>If you have certain Google Workspace plans (not the popular Starter plan most people use), you can find it hidden in Gmail.<\/p>\n<p>(One of its many) fatal flaws? <strong>It can&#8217;t attach individual files as part of a mail merge<\/strong>.<\/p>\n<p>That&#8217;s right \u2014 <strong>Google&#8217;s own mail merge tool can&#8217;t attach your invoice PDFs<\/strong>. You can personalize the email text, but the actual invoice? Not possible. For invoice sending, this is completely useless.<\/p>\n<h3 id=\"option-1-building-yo-wvqn\">Option 1: Building your own Google Apps Script (the DIY route)<\/h3>\n<p>If you&#8217;re technical, and really want to avoid paying for software, you could <strong>write your own Google Apps Script<\/strong>\u00a0to handle invoice mail merge.<\/p>\n<p>You can start with the code that <a href=\"https:\/\/developers.google.com\/apps-script\/samples\/automations\/mail-merge\">Google<\/a>\u00a0provides.<\/p>\n<p>From there, you&#8217;ll need to:<\/p>\n<ul>\n<li>Edit it to meet your needs. You\u2019ll need to do this coding yourself, or work with an LLM to vibe it up.<\/li>\n<li>Manage attachment handling from Google Drive.<\/li>\n<li>Build error handling for failed sends.<\/li>\n<li>Create your own tracking system.<\/li>\n<li>Debug inevitable issues.<\/li>\n<\/ul>\n<p>If that sounds overly complicated\u2026 that\u2019s because it is.<\/p>\n<p>But again, <strong>totally free<\/strong>. If you\u2019ve got a week to set aside and you like getting into the technical weeds, you\u2019ll be able to figure something out.<\/p>\n<h3 id=\"option-2-basic-googl-lkby\">Option 2: Basic Google Sheets add-ons (YAMM, Mailmeteor, Mail Merge with Attachments, others)<\/h3>\n<p>You can find Google apps add-ons in the <a href=\"https:\/\/workspace.google.com\/marketplace\">Google Workspace Marketplace<\/a>. And there\u2019s an entire genre of Google Sheets add-ons that let you create and send mail merges from inside Google Sheets (well, while going back and forth a whole bunch between there and Gmail).<\/p>\n<p>Many of them allow you to add individual attachments like invoice PDFs.<\/p>\n<p><a href=\"https:\/\/www.gmass.co\/blog\/yamm-alternatives\/\">Yet Another Mail Merge<\/a>\u00a0(YAMM) is probably the most well-known basic mail merge tool for Google Sheets. It&#8217;s suuuuper cheap \u2014 around $25\/year \u2014 and it can attach files. Mailmeteor is similar, with a free tier for very small sends.<\/p>\n<p><strong>These tools work for the absolute basics<\/strong>. You can connect a spreadsheet, personalize some text, and attach files.<\/p>\n<p>But\u2026<\/p>\n<p>For professional invoice sending, they fall short.<\/p>\n<p>They have <strong>limited functionality<\/strong>\u00a0around (or don\u2019t even offer) things like automated follow-ups, scheduling, tracking, unsubscribe and bounce management, A\/B testing, and dozens more.<\/p>\n<p>Most will <strong>only take attachments from Google Drive<\/strong>, you can\u2019t use invoices stored in places like Dropbox, Amazon S3, or even your own server.<\/p>\n<p>And as you\u2019ll see later in this article, Google Drive is probably the least convenient place to store attachments.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/09\/invoicemailmerge-yamm.png\" data-rel=\"lightbox-image-0\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/09\/invoicemailmerge-yamm.png\" alt=\"YAMM, Mail Merge with Attachments, and other add-ons often are missing options\" width=\"2000\" height=\"1078\" \/><\/a><\/figure>\n<p>The <strong>interfaces are generally clunky<\/strong>; the dance of going back and forth between Gmail and a Google Sheets add-on is inelegant.<\/p>\n<p><strong>For occasional personal use, these might work<\/strong>. For regular business invoicing, you&#8217;ll quickly hit their limitations.<\/p>\n<p>(I know this for a fact because people tell me <em>all the time<\/em>\u00a0as I\u2019m working with them on the next option\u2026)<\/p>\n<h3 id=\"option-3-gmass-gmail-ubke\">Option 3: GMass: Gmail\u2019s professional mail merge solution<\/h3>\n<p>GMass takes a different approach. Instead of being an add-on that makes you send email in Google Sheets (which, um, isn\u2019t a place people send email normally), <strong>it&#8217;s a full email platform that works inside Gmail itself<\/strong>.<\/p>\n<p><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass.png\" data-rel=\"lightbox-image-1\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-25543\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass.png\" alt=\"\" width=\"2000\" height=\"1118\" srcset=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass.png 2000w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass-300x168.png 300w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass-1024x572.png 1024w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass-768x429.png 768w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass-1536x859.png 1536w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass-24x13.png 24w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass-36x20.png 36w, https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/08\/sendingbulkgmail-gmass-48x27.png 48w\" sizes=\"auto, (max-width: 2000px) 100vw, 2000px\" \/><\/a><\/p>\n<p>You use your Google Sheet with client data and invoice URLs, but all the real emailing is done in Gmail.<\/p>\n<p>The features that matter for invoicing:<\/p>\n<ul>\n<li><strong>Personalized <\/strong><strong><a href=\"https:\/\/www.gmass.co\/blog\/pdf-mail-merge-send-bulk-emails-pdf-attachments\/\">PDF attachments<\/a><\/strong>\u00a0stored anywhere<\/li>\n<li>Set up an <strong>automated email<\/strong>\u00a0that <a href=\"https:\/\/www.gmass.co\/blog\/recurring-reminder-emails\/\">sends monthly invoices automatically<\/a>\u00a0(NO other software can do this)<\/li>\n<li><strong><a href=\"https:\/\/www.gmass.co\/blog\/reports\/\">Advanced analytics<\/a><\/strong>\u00a0and tracking<\/li>\n<li>Automated payment reminder <strong><a href=\"https:\/\/www.gmass.co\/blog\/auto-follow-up-emails-until-reply\/\">sequences<\/a><\/strong><\/li>\n<li><strong><a href=\"https:\/\/www.gmass.co\/blog\/how-many-emails-can-you-really-send-with-gmass-and-gmail\/\">Break through Gmail&#8217;s sending limits<\/a><\/strong>\u00a0for large campaigns<\/li>\n<li id=\"step-by-step-guide-b-vray\"><strong>Works directly in Gmail<\/strong>, not through a clunky sidebar<\/li>\n<li><strong><a href=\"https:\/\/www.gmass.co\/blog\/spam-solver-tweaks-emails\/\">Spam Solver<\/a><\/strong>, to make sure your emails go to the inbox<\/li>\n<li>Send attachments through the <strong><a href=\"https:\/\/www.gmass.co\/blog\/api-create-send-campaign\/\">GMass API<\/a><\/strong>\u00a0if needed<\/li>\n<\/ul>\n<h2>Step-by-Step Guide: Bulk Invoice Sending in Gmail Using GMass<\/h2>\n<p>Here\u2019s your walkthrough of how to create an email template and have it go out \u2014 fully personalized and with the correct invoice attached \u2014 to everyone on your list.<\/p>\n<h3 id=\"step-1-set-up-your-g-aivs\">Step 1: Set up your Google Sheet<\/h3>\n<p>Your spreadsheet needs at least two columns:<\/p>\n<ul>\n<li><strong>Email<\/strong>\u00a0\u2014 the client&#8217;s email address<\/li>\n<li><strong>Attachment<\/strong>\u00a0\u2014 the URL to the PDF on a server. (Because GMass literally grabs the invoice from there and makes it an attachment.)<\/li>\n<\/ul>\n<p>Other columns you might want to use for mail merge:<\/p>\n<ul>\n<li><strong>FirstName<\/strong>\u00a0\u2014 for personalizing the greeting<\/li>\n<li><strong>InvoiceNumber<\/strong>\u00a0\u2014 unique identifier for the invoice<\/li>\n<li><strong>Amount<\/strong>\u00a0\u2014 total due<\/li>\n<li><strong>DueDate<\/strong>\u00a0\u2014 when payment is expected<\/li>\n<li><strong>CC<\/strong>\u00a0or <strong>BCC<\/strong>\u00a0\u2014 if you are including more than one recipient from a company<\/li>\n<li><strong>Attachment2<\/strong>, <strong>Attachment3<\/strong>, et. al. \u2014 if you need to attach more than one file<\/li>\n<li><strong>Company<\/strong>, <strong>ServiceDescription<\/strong>, <strong>PaymentTerms<\/strong>, <strong>PlanExpiration<\/strong>, et. al. \u00a0\u2014 anything else that makes sense to send<\/li>\n<\/ul>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/09\/invoicemailmerge-setupsheet.png\" data-rel=\"lightbox-image-2\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/09\/invoicemailmerge-setupsheet.png\" alt=\"Set up your Google Sheet for invoicing\" width=\"2000\" height=\"1056\" \/><\/a><\/figure>\n<p><strong>Make the first row of your Google Sheet these column headers<\/strong>; those <strong>become your mail merge tags<\/strong>. (Here are some tips for <a href=\"https:\/\/www.gmass.co\/blog\/format-google-sheet\/\">formatting your Google Sheet for a smooth mail merge<\/a>.)<\/p>\n<p>Note: You can generally use whatever column headers you want. But the attachment column name needs to start with the word &#8220;Attachment&#8221; \u2014 you can call it Attachment, AttachmentFile, Attachment1, AttachmentPDF, whatever makes sense to you.<\/p>\n<h3 id=\"step-2-store-your-in-tsrs\">Step 2: Store your invoice PDFs<\/h3>\n<p>As I noted earlier, you need a <strong>publicly accessible URL for each invoice PDF<\/strong>.<\/p>\n<p>That <em>doesn\u2019t<\/em>\u00a0mean anyone in the world can just access them. You shouldn\u2019t share those URLs publicly! But GMass needs to be able to grab the PDFs off a server so it can attach them, and it won\u2019t work if those files are password protected or if the server is locked down.<\/p>\n<p>Here are\u00a0the three common options for storing your PDFs:<\/p>\n<h4 id=\"option-1-google-driv-uwqz\">Option 1: Google Drive (my least favorite option)<\/h4>\n<p>Upload all your invoice PDFs to Google Drive. They can be in any folder or scattered across multiple folders.<\/p>\n<p><strong>Grab the deep link to each Google Drive file<\/strong>\u00a0and put it in the right row of your spreadsheet. (You can find instructions here for <a href=\"https:\/\/www.gmass.co\/blog\/mass-email-with-personalized-attachments\/\">finding that deep link to your Google Drive PDFs<\/a>; Google likes to obscure it a bit for #reasons.)<\/p>\n<p>You\u2019ll also need to <a href=\"https:\/\/www.gmass.co\/oauth\/login?scopes=drive\">give GMass permission to access your Drive files<\/a>; GMass only asks for permissions when it needs them.<\/p>\n<p>Also, check your Google Drive settings and make sure &#8220;Convert uploaded files to Google Docs format&#8221; is turned OFF. You want your PDFs to stay as PDFs.<\/p>\n<p>One more thing: <strong>You need to set the permissions on the files<\/strong>\u00a0(or folder containing them) to allow public access.<\/p>\n<p>Yes, Google makes you jump through a lot of hoops to use their storage. For as easy as it is to use Google Sheets, using Google Drive can feel like the opposite. That\u2019s why this is my least favorite option.<\/p>\n<h4 id=\"option-2-your-web-se-xqpf\">Option 2: Your web server (my favorite option)<\/h4>\n<p>Whenever possible, I tell people to use their own web server for storing the invoices. It\u2019s <strong>easier than finding the URLs on Google Drive<\/strong>\u00a0or one of the cloud providers and keeps everything in house.<\/p>\n<p>So if you generate invoices on your company website or have them on your server, use the full URL in the attachment column, like: https:\/\/yourcompany.com\/invoices\/INV-2024-001.pdf<\/p>\n<p>Again, the PDFs need to be publicly accessible (not behind a login).<\/p>\n<h4 id=\"option-3-cloud-stora-cwik\">Option 3: Cloud storage (Dropbox, AWS S3)<\/h4>\n<p>Public Dropbox folders or AWS S3 buckets work great. Copy the public share link and paste it in your attachment column. <strong>Make sure it&#8217;s a direct link to the PDF, not a preview page<\/strong>.<\/p>\n<p>Like Google Drive, the folks at Dropbox like to obscure the link to your files a bit. The shortcut: When you grab a Dropbox link, change the dl=0 at the end to dl=1. (I like to use a find-and-replace in Google Sheets to change all those URLs in bulk.)<\/p>\n<h3 id=\"step-3-connect-your-rlpp\">Step 3: Connect your Google Sheet to GMass<\/h3>\n<p>First up, <strong>grab the <\/strong><strong><a href=\"https:\/\/chrome.google.com\/webstore\/detail\/gmass-powerful-mail-merge\/ehomdgjhgmbidokdgicgmdiedadncbgf\">GMass Chrome extension<\/a><\/strong>.<\/p>\n<p>Yes, GMass is a Chrome extension and not a Google Workspace add-on \u2014 <strong>that\u2019s how it integrates right into Gmail<\/strong>, rather than sitting in a sidebar in Google Sheets.<\/p>\n<p>You can try out GMass free and send up to 50 emails a day during the trial. Then click <strong>Connect to Spreadsheet<\/strong>.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/09\/invoicemailmerge-connecttosheet.png\" data-rel=\"lightbox-image-4\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/09\/invoicemailmerge-connecttosheet.png\" alt=\"Choose your Google Sheet from the dropdown\" width=\"2000\" height=\"1238\" \/><\/a><\/figure>\n<p>Your compose window now shows all your recipients in the To field (well, they\u2019re compressed into a GMass alias address to keep things neat, but they\u2019re there).<\/p>\n<h3 id=\"step-4-write-your-in-qcqa\">Step 4: Write your invoice email<\/h3>\n<p>Write your standard invoice email, but <strong>use merge tags for personalization<\/strong>.<\/p>\n<p>Merge tags are just your column headers in curly brackets.<\/p>\n<p>You don\u2019t have to go back and forth to Google Sheets to get these merge tags. <strong>Just type a left curly brace<\/strong>\u00a0{ and GMass will show you a list of all available options.<\/p>\n<figure style=\"text-align: center;\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/09\/invoicemailmerge-template.png\" data-rel=\"lightbox-image-5\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2025\/09\/invoicemailmerge-template.png\" alt=\"Create your template\" width=\"2000\" height=\"1092\" \/><\/a><\/figure>\n<p>Every recipient gets their personalized version. Sarah from ABC Corp sees her name, her invoice number, her amount. Mark from XYZ Inc sees his details.<\/p>\n<p><strong>\u26a0\ufe0fIMPORTANT:<\/strong>\u00a0Don&#8217;t attach any files manually in Gmail or and do NOT put {Attachment} at the bottom of the email.<\/p>\n<p>When you have an Attachment column in a Google Sheet, GMass sees that and handles all attachments automatically. If you manually attach something, that file goes to everyone in addition to their personalized attachment.<\/p>\n<h3 id=\"step-5-set-up-paymen-fgae\">Step 5: Set up payment reminders<\/h3>\n<p>Want to make sure people have paid their invoices?\u00a0In the GMass settings box (the arrow next to that red GMass button), click <strong>Auto Follow-up<\/strong>\u00a0and <strong>create a reminder sequence<\/strong>.<\/p>\n<p>We\u2019ll set these reminders to go out as long as someone hasn\u2019t clicked on the payment link. <strong>Once they click that link, the reminders stop<\/strong>.<\/p>\n<p>A possibility:<\/p>\n<ul>\n<li><strong>Follow-up 1 (7 days after invoice):<\/strong>\u00a0A friendly check-in. Maybe they missed the email or forgot to process it.<\/li>\n<li><strong>Follow-up 2 (Day before due date):<\/strong>\u00a0Gentle urgency.
