In the\u00a0<strong>Google Sheets\u00a0<\/strong>spreadsheet containing your email addresses, you simply need a\u00a0<strong>Date<\/strong>\u00a0column that includes the date on which you\u2019d like that particular email sent.<\/p>\n<h3>Overview<\/h3>\n<p>The basic steps to send automatic emails on specific days in Gmail are:<\/p>\n<ol>\n<li>Set up a\u00a0<strong>Google Sheets<\/strong>\u00a0spreadsheet containing email addresses and the dates to be sent.<\/li>\n<li>Use\u00a0<strong>GMass<\/strong> to connect to the spreadsheet with a\u00a0<a href=\"https:\/\/www.gmass.co\/blog\/send-mail-merge-to-selected-rows-spreadsheet\/\">specific filter criterion<\/a>.<\/li>\n<li>Compose the campaign.<\/li>\n<li>Set it to\u00a0<a href=\"https:\/\/www.gmass.co\/blog\/new-feature-recurring-automated-email-campaigns-with-gmail-and-google-sheets\/\">repeat daily<\/a>.<\/li>\n<li>Send it out!<\/li>\n<\/ol>\n<h3>Set\u00a0up your spreadsheet<\/h3>\n<p>Your spreadsheet can contain any number of columns to personalize your emails, but for date-based sending, it needs to include\u00a0<strong>a column for the email addresses<\/strong>\u00a0and the <strong>EmailSendDate<\/strong>, for when you want each email sent out. Note that the\u00a0dates can be in any valid date format.\u00a0In the example above, I am showing a number of different dates, with or without the year information, and using different formatting, just to show the flexibility. In your actual spreadsheet, you would probably stick to a standard format.<\/p>\n<p><strong>In what format should the date be?<\/strong>\u00a0For this example, your date column can contain dates with years or without years, and they can be in any recognizable <strong>U.S.-based date format<\/strong>. For a date of January 15, 2019 for example, the spreadsheet cell can contain \u201c1\/15\/19\u201d, \u201c1\/15\/2019\u201d, \u201c01\/15\/19\u201d, \u201cJanuary 15, 2019\u201d. It should <em>not<\/em> contain, however, the European date format of \u201c15\/1\/19\u201d.<\/p>\n<p>If you are sending something out on an annual basis on that date, and therefore the year does not matter, you can leave years off of the date. For example, \u201c1\/15\u201d and\u00a0\u201cJanuary 15\u201d would be acceptable date values. In this example, that is the approach I will follow (see the\u00a0last example in Other Uses Cases\u00a0below if you do need the year information to be used).<\/p>\n<h3>Set\u00a0up the filter criterion in GMass<\/h3>\n<p>Click the\u00a0<strong>GMass spreadsheet icon<\/strong><\/p>\n<figure id=\"attachment_2924\" aria-describedby=\"caption-attachment-2924\" style=\"width: 226px\" class=\"wp-caption alignnone\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2018\/04\/19_SpreadsheetButton.gif\" data-rel=\"lightbox-image-1\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-2924\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2018\/04\/19_SpreadsheetButton.gif\" alt=\"GMass spreadsheet button, found at the top of Gmail page.\" width=\"226\" height=\"52\" \/><\/a><figcaption id=\"caption-attachment-2924\" class=\"wp-caption-text\">GMass spreadsheet button, found at the top of Gmail page.<\/figcaption><\/figure>\n<p>and choose the\u00a0<strong>spreadsheet<\/strong>\u00a0and\u00a0<strong>worksheet<\/strong>\u00a0that you just set up. Because we don\u2019t want to send an email to everyone on the spreadsheet at once, we need to specify a filter criterion so that emails only go out when the current date matches the date in the\u00a0<strong>EmailSendDate\u00a0<\/strong>column.<\/p>\n<figure id=\"attachment_3238\" aria-describedby=\"caption-attachment-3238\" style=\"width: 779px\" class=\"wp-caption alignnone\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2018\/07\/Emaildate_choosing_spreadsheet.gif\" data-rel=\"lightbox-image-2\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-3238 size-full\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2018\/07\/Emaildate_choosing_spreadsheet.gif\" alt=\"Choosing the spreadsheet and applying the filter.\" width=\"779\" height=\"549\" \/><\/a><figcaption id=\"caption-attachment-3238\" class=\"wp-caption-text\">Choosing the spreadsheet and applying the filter.<\/figcaption><\/figure>\n<p id=\"attachment_1376\">The filter criterion is based on the \u201cEmailSendDate\u201d column in the spreadsheet. We want to match rows where the EmailSendDate is equal to the current date. In this example, we are going to do it without regard to the year of the EmailSendDate.<\/p>\n<p>Once you\u2019ve inputted the filter criterion, click the\u00a0<strong>CONNECT TO SPREADSHEET<\/strong>\u00a0button to continue.<\/p>\n<p><em><strong>Note:<\/strong>\u00a0If it\u2019s no recipient has an EmailSendDate that matches today, then the Gmail Compose window will launch with an alias address in the To field representing 0 addresses. That is normal (and is shown in the next screenshot). It just means that right now, 0 emails will be sent. Since you\u2019re going to set up the campaign to repeat daily, it will check to see if anyone has an EmailSendDate on each day the campaign runs, and send out the ones that do.<\/em><\/p>\n<h3>Set up the mail merge<\/h3>\n<p>A\u00a0<strong>Compose<\/strong>\u00a0window in <strong>Gmail<\/strong> should have launched where you can enter the\u00a0<strong>Subject<\/strong>\u00a0and the\u00a0<strong>Message\u00a0<\/strong>for the email. Here I\u2019ve personalized the\u00a0<strong>Message<\/strong>\u00a0with the first name.<\/p>\n<figure id=\"attachment_3227\" aria-describedby=\"caption-attachment-3227\" style=\"width: 764px\" class=\"wp-caption alignnone\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2018\/07\/Emaildate_outgoing_email.gif\" data-rel=\"lightbox-image-3\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-3227 size-full\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2018\/07\/Emaildate_outgoing_email.gif\" alt=\"The outgoing email.\" width=\"764\" height=\"598\" \/><\/a><figcaption id=\"caption-attachment-3227\" class=\"wp-caption-text\">The outgoing email.<\/figcaption><\/figure>\n<p>Again, don\u2019t be alarmed by the alias address representing 0 recipients. That\u2019s just because it happens that today&#8217;s date does not match any of the recipients&#8217; EmailSendDate. If any had matched, they would be shown in the <strong>To: field.<\/strong><\/p>\n<p>Now, in order to get this email to send every day to just the\u00a0recipients whose <strong>EmailSendDate<\/strong> is that day, you must check the\u00a0<strong>Repeat daily<\/strong>\u00a0checkbox, which is found in the <strong>GMass Settings window.<\/strong><\/p>\n<figure id=\"attachment_3228\" aria-describedby=\"caption-attachment-3228\" style=\"width: 1019px\" class=\"wp-caption alignnone\"><a href=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2018\/07\/Emaildate_repeat_daily.gif\" data-rel=\"lightbox-image-4\" data-rl_title=\"\" data-rl_caption=\"\" title=\"\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-3228 size-full\" src=\"https:\/\/www.gmass.co\/blog\/wp-content\/uploads\/2018\/07\/Emaildate_repeat_daily.gif\" alt=\"Checking the &quot;repeat daily&quot; checkbox in GMass Settings.\" width=\"1019\" height=\"627\" \/><\/a><figcaption id=\"caption-attachment-3228\" class=\"wp-caption-text\">Checking the &#8220;repeat daily&#8221; checkbox in GMass Settings.<\/figcaption><\/figure>\n<p>Setting this to \u201cRepeat daily to new Sheets addresses\u201d will cause <strong>GMass<\/strong> to query the spreadsheet daily to see what email addresses match the filter criterion. Without this setting, the email would send today to anyone whose EmailSendDate is today&#8211;and then would just stop.<\/p>\n<p>Instead, this setting will tell <strong>GMass<\/strong> to:<\/p>\n<ol>\n<li>Query the spreadsheet daily for rows where the current date is equal to the <b>EmailSendDate<\/b>.<\/li>\n<li>Send an email to just those people.<\/li>\n<\/ol>\n<h3>Bonus: You can keep adding rows to your spreadsheet, even after the campaign has started.<\/h3>\n<p>You can add more rows to your spreadsheet anytime you wish, and <strong>GMass<\/strong> will automatically pick up the new email addresses and dates. You don\u2019t need to edit your <strong>GMass<\/strong> campaign. Just add the new data to the spreadsheet and <strong>GMass <\/strong>will detect them and send the emails accordingly on the daily schedule you\u2019ve already set.<\/p>\n<h3>Other Use Cases<\/h3>\n<p>This is a general pattern that works for a number of use cases, either in business or your personal life.<\/p>\n<ul>\n<li><strong>Automated shipping alerts.<\/strong> If you have a\u00a0spreadsheet of orders\u00a0your company has received, and one of the columns is the buyer\u2019s email address, and the other is the buyer\u2019s order ship date, you can have an email sent out automatically on the day that a buyer\u2019s product ships, to let them know to expect their package in the mail soon.<\/li>\n<li><strong>Automated emails\u00a0for birthdays, graduations, others&#8217; anniversaries, <\/strong>and other special personal dates. See our guide to <a href=\"https:\/\/www.gmass.co\/blog\/gmail-birthday-emails-automatically\/\">sending birthday emails<\/a>.<\/li>\n<li><strong>Subscription\u00a0or membership ending reminders.<\/strong> This is a really useful one, and can be used with software subscriptions, magazines and newsletters subscriptions, society memberships, web domain yearly registrations, and other services that are paid in a repeating manner, whether annually or at some other scheduling. This one works particularly well if you include <em>two<\/em> date columns in the spreadsheet: one for the reminder send-out date, and one for the final day the service is expiring.
